Select Custom Field Format Dialog Box

Use the Select Custom Field Format dialog to specify how the completed proposal displays data from a new user-defined field.

Location

To display the dialog box, complete the following steps:

  1. Open Microsoft Word. The toolbar displays in the Custom Toolbars area of Word 2007/2010/2013 when you click Add-Ins on the menu bar/ribbon.
  2. Click the Vision Field button on the Merge Code Toolbar.
  3. On the dialog box, select an Info Center.
  4. In the Group Codes pane of the Select [Info Center] Merge Code dialog box, select Custom Tab Codes, Custom Field. The Deltek Vision Word Macro dialog box opens, with the prompt: Enter Custom Field Name.
  5. Enter the custom field name and click OK.

Field Description
Standard Format Select this option to enter the merge code on the merge template with no other format specified.
With Preceding Separator/Title

Select this option to enter preceding text that displays only if there is data in the field.

The Separator/Title dialog box opens. Enter the preceding separator and click OK.

For example, if you have the first and last name followed by a comma and a space and then the suffix, you want only the comma and space to print before the suffix if there is data in the suffix field. In this case, the comma and space are the preceding separator when the Suffix field is inserted.

The result displayed is similar to this example:

[First Name] [Last Name][{`, `(Suffix)}].

You can enter this formula into the merge template. Make sure that the formula agrees with this example.

The acute symbol "`" is on the same key as the tilde ~ character. A character that you enter between two acute symbols is not shown in the completed proposal, if there is no data in the Vision database for the field that you specify in the preceding statement.

With Succeeding Separator/Title

Select this option to enter succeeding text that appears only if there is data in the field.

The Separator/Title dialog box opens. Enter the succeeding separator and click OK.

With Preceding & Succeeding Separator/Title

Select this option to enter both preceding and succeeding text that displays only if there is data in the field before it.

The Separator/Title dialog box opens. Enter the preceding separator and click OK.

The Separator/Title dialog box opens again. Enter the succeeding separator and click OK.

Field Description
Currency/Number Format

Select this option if you want the completed proposal to show the numeric or currency data with the thousands separator and digit grouping displayed in the sample Currency data on your workstation's Regional Settings screen.

The merge code macro does not place the currency symbol in the template before the merge code. You must include the currency code in the template when you create separate merge template sets for each currency.

Currency with Decimals

Select this option if you want the completed proposal to show the data in the sample Currency format specified on your workstation's Regional Settings screen.

The Microsoft Office Word dialog box opens. Specify the number of decimal places.

The data is entered in the merge template with the number of decimal places that you specify, and no currency symbol. You must include the currency code in the template when you create a separate merge template set for each currency in which you create merged documents.

Decimal Format

Select this option if you want the completed proposal to show the data in the sample Number format specified on your workstation's Regional Settings screen.

The Microsoft Office Word dialog box opens. Specify the number of decimal places.

The data is entered in the merge template with the number of decimal places that you specify.

Full Name Format (For States) Select this option to cause the completed proposal to display the state or province's full name; for example, The Commonwealth of Massachusetts.
Full Name Format (For States) With Preceding Separator/Title

Select this option to include preceding text that displays only if there is data in the State field.

The Separator/Title dialog box opens. Enter the preceding separator and click OK.
