Contents of the Receiving Form

Use the fields and options on the Receiving form to create and modify receiving records.

Fields

Field Description
Buyer

This field displays the name of the buyer for the purchase order, as specified on the Purchase Orders form.

Currency

This field displays the currency code for the purchase order, as specified in the Currency Code option on the General tab of the Purchase Orders form.

Order Date

This field displays the order date of the purchase order.

Receipts Grid

Use the Receipts grid to record and view data about each receipt of items in an open purchase order. After a purchase order is closed, this grid is non-editable. You cannot delete a receiving record, but you can delete receipts from the Receipts grid.

If you are using this grid to record receipt of an inventory item and the item quantity is divided among two or more locations, you must use one row for each location.

Receipts Grid

Field Description
Receipt Date

For new rows, this column displays today's date and the current time. To change the entry, click and select the date and time of the receipt.

Received By

This field displays the name of the person who received the item.

Packing Slip

Enter the packing slip number.

Bill Of Lading

Enter the bill of lading code. The bill of lading provides inventory processing information through the supply chain (carrier, customer, and shipper).

Notes

Review existing notes or enter more information about this receipt:

  • When viewing existing receipt grid row entries, click to show any notes for the receipt. To view the note information in its entirety, hover over this field to launch a tooltip that displays all the information entered in the field.
  • When adding receipt grid row entries, click to open the Text Editor, which provides formatting options, and then enter notes for the receipt.

This icon displays at the end of the row when you click or hover over a grid row entry. Click the icon to select one of these actions for the row:

  • Delete: Select this option to delete the selected receipt. If the purchase order has already been vouchered, you cannot delete the receipt record.
  • Print: Select this option to print a Purchase Order Receivings report of the data for this receipt. When the Inventory feature is enabled, the report also displays the inventory fields from the Line Items grid.

Click this option to add a new row into the Receipts grid.

Line Items Grid

Use the Line Items grid to enter or edit individual items that are delivered for a purchase order. You cannot edit a receiving record that you did not create. This grid displays only if there is at least one receipt record in the Receipts grid.

Line Items Grid Toolbar

When you receive line items, you receive activity notifications that include hyperlinks to the receipt record through activity entries in the Notification Center and an email message that is automatically sent to your email address. You configure this setting in Settings > Purchasing & Inventory > Purchasing Alerts, in the desktop application.

Field Description
Receive

Select an item in the Line Items grid and then click this option to receive delivery of the item. The item's received status changes to Fully Received or Partially Received, based on the values that you entered in the Qty Accepted and Qty Rejected fields.

To see the status, check the Received Status field in either of these locations:
  • The Purchase Order Line Detail dialog box
  • The Line Items grid of the Purchase Orders form
Receive All

Click this option to receive delivery of all items in the Line Items grid. The item's received status changes to Fully Received or Partially Received, based on the values that you entered in the Qty Accepted and Qty Rejected fields.

To see the status, check the Received Status field in either of these locations:
  • The Purchase Order Line Detail dialog box
  • The Line Items grid of the Purchase Orders form

Line Items Grid Fields

Field Description
C/O #

This field displays the purchase order's change order number, if any.

P.O. Seq

This field displays the line number for the purchase order line item.

Item

This field displays the item number for the purchase order line item.

Description

This field displays the line item's description, from the purchase order.

UOM

This field displays the line item's unit of measure, from the purchase order.

Ordered Qty

This field displays the line item's quantity, from the purchase order. The total of the values in this column displays in the Totals line.

Open Qty

This field displays the quantity remaining that is still open for the line item, calculated as (Ordered Qty - Other Received Qty - Current Qty Accepted).

The total of the values in this column displays in the Totals line.

When the value in this column is zero, the Back Ordered checkbox is not active.

Qty Accepted

Enter the quantity of this item that you are accepting in this receipt. Vantagepoint uses this data to re-calculate the Open Qty value.

If the value in Qty Accepted is more than the value in Open Qty, the value for Open Qty is a negative number.

The total of the values in this column displays in the Totals line.

Qty Rejected

If you are rejecting any portion of the item, enter the rejected quantity in this field. See the corresponding option, Rejected Item Quality, for related information.

Rejected Item Quality

If you enter a value in the Qty Rejected field and the Quality Code in Receiving option is selected on the General tab of Configuration > Purchasing & Inventory > Company Settings, you must use this option to select a quality code that represents the condition of the rejected item at the time of delivery.

Back Order

Select this checkbox to indicate that the selected item is back-ordered, which means that the order has been placed but item delivery is slated to occur at a later date, when stock becomes available.

This checkbox is disabled if the value in the Open Qty field is zero.

Receive Notes

Click and enter any pertinent comments about the receipt of this item.

Inv

This checkbox is selected if this is an inventory item.

Inventory Qty

This field displays when the Inventory application is enabled. You can use this field to adjust the inventory quantity if the Allow Modify of Inventory Qty In Receiving option is selected on the Inventory tab inConfiguration > Purchasing & Inventory > Company Settings, in the desktop application and you are set up to approve inventory.

Inventory UOM

This field displays when the Inventory application is enabled. This is the item's inventory unit of measure.

Location

This field displays the item's default location. You can select a different location. To divide the items in a single lot among two or more locations, you must add a new row to the Receipts grid.

Document

Click the icon in this field to open the Supporting Documents dialog box and then upload and associate one or more documents, such as a packing slip, with the line item for the purchase order receiving.

This option is available only if you have FileStream enabled in your database. For more information, see Files Administration Utility.

If you use the Vantagepoint on-premises product, this field displays only if Transaction Document Management is configured. For more information about the configuration, see the Configuring Supporting Documents online help topic.

This icon displays at the end of the row when you click or hover over a grid row entry. Click the icon to select one of these actions for that row:

  • Summary: Select this option to open the Summary dialog box.
