Change the Previous Fee Billed on an Invoice

You can invoice a project before a fee has been negotiated for that project. In this case, you may set up the project’s billing terms as you would for a time and materials contract until the fee is determined.

After the fee is negotiated, change the billing terms to those of a fee-based project. When you generate invoices for fee projects, the previous fee billed is not reflected on the initial invoice.

To update the previous fee billed amount:

  1. In the Navigation pane, select Transaction Center > Transaction Entry > Invoices.
  2. On the Invoices form, click, + New Invoice File to create a new invoice transaction entry file.
  3. Complete the information on the New File dialog box and click Save.
  4. On the Invoices form, complete the information in the Invoice, Project, and Date fields to match the original invoice.
  5. Click + Add Detail below the Project Information grid.
  6. In the blank row, select Fee in the Invoice Section field.
  7. In the Account field, enter the appropriate revenue account.
  8. In the Amount field, enter the total amount for the fee contract.
    The amount of the original invoice is moved to the fee section, and the amount is now recognized in the Billed-to-Date section of the invoice.

    To create a net-zero invoice, insert negative amounts to zero out the positive amounts posted to the original invoice. For example, if the original invoice included a $400 amount in the Labor invoice section, click + Add Detail below the Project Information grid. In the blank row, select Labor in the Invoice Section field, select the same account as on the original invoice, and enter -$400 in the Amount field.

  9. Click Save.
