Enter a Budget for Expenses and Consultants for a Project

Use the Expenses + Consultants tab on the Budget form in the Projects hub to enter budget information for expenses and consultants.

Note: An alternative to the procedure below is to copy budget information from another project's budget and then make changes to that information as necessary. See Copy Budget Information from Another Project.

To enter budgets for expenses and consultants:

  1. In the Navigation pane, select Hubs > Projects > Budget.
  2. At the top of the Budget form, enter either a complete or partial name or number in the Find project lookup field to find and select the project for which you want to enter budget information.
  3. In the Project Structure dialog box, select a work breakdown structure (WBS) element for which you want to enter budget information. (If the Project Structure dialog box does not display automatically, click to display it.)

    You can only enter budget information for WBS elements at the lowest levels of the WBS.

  4. If Vantagepoint is set up to allow entry of both cost and billing budgets, select the type of budget you want to enter in Show in the upper-right corner of the form.
  5. Click the Expenses + Consultants tab.
  6. In the Start Date and End Date fields, enter the start and end dates for work on the WBS element.

    You can also enter these dates on the Labor tab.

  7. Click + Add Expense to add a blank row.

    If the grid does not contain all of the columns that you need, click in the upper-right corner of the grid and select other columns.

  8. In Account, select an account for which you want to enter a budget for the WBS element.

    If the project has the Regular charge type, you can select a direct or reimbursable expense account or consultant account. If the project has either the Overhead or Promotional charge type, you can only select an indirect expense account.

  9. If Vantagepoint is set up to allow entry of budget amounts for vendors and you want to enter a vendor-specific budget amount for the account. select the vendor in Vendor.
  10. Depending on whether you are entering a cost budget or billing budget, enter the budget amount for the account, or for the account and vendor combination, in Budgeted Cost or Budgeted Billing.
  11. As appropriate, use the other fields in the row to enter additional information for the budget row.
  12. To enter budget information for other accounts or accounts and vendors for the same WBS element, repeat steps 7 - 11.
  13. To enter expense and consultant budgets for other WBS elements, repeat steps 3 - 12.
