Export a Proposal

After you generate a proposal, you can export it as a PDF or as a Microsoft Word file. This feature is available if your enterprise uses CRM Plus.

Prerequisite: In the Navigation pane, select Proposals > Custom Proposals and then create a new proposal or open an existing proposal.

To export a proposal:

  1. On the Custom Proposals form, do one of the following:
    • At the end of a proposal row in the grid, click and then select Export to PDF or Export to Word.
    • Select a proposal and on the Actions bar select Other Actions > Export to PDF or Other Actions > Export to Word.
    Option Result
Export to PDF When you export the file as a PDF, it opens on a browser tab or in Adobe Acrobat, depending on your browser settings.
Export to Word When you export the file to Word, the file opens in Word, using the .docx format. The proposal exports as it is displayed in Vantagepoint with the same colors, positioning, text size and formats, and so on. If you do not have a font on your computer that is used in the proposal, it is replaced with another font in the Word document. Exporting to Word is useful when sharing information for review because it allows the user to edit the Word document without any formatting issues or changes.

Draft records are useful for proposals that you send to team members for review, but it is a best practice to finalize all records before sending a proposal to a client so that the content does not change after you send the proposal. If some records in the exported proposal have not been finalized, you are prompted to finalize them on the Export to PDF dialog box. This is not required.

However, if you choose not to finalize, the draft records are updated as the record changes. For example, if a project description is updated in the Projects hub, that updated description is included in a proposal if it is still a draft record.

  2. Save the file and share it with clients.
