Contents of the AR Comments Dialog Box

Use these fields and options to review, edit, add, or delete accounts receivable comments for invoices, credit memos, and billing clients.

AR Comments Grid

You add a row in this grid for each AR comment.

Grid Filter

Each time you open the AR Comments dialog box, the AR Comments grid is automatically filtered to show you the comment rows for the invoice that you selected on the Invoices form. To remove the invoice filter and display AR comments for all posted invoices and all current and past billing clients for the project you selected on the Invoices form: In the filter row at the top of the grid, click X beside the invoice number in the Invoice field. To review AR comments for a specific billing client, enter that client in the Billing Client field in the grid filter row.

Entering the First Comment for an Invoice

When you open this dialog box for an invoice that has no comments entered for it, the first row in the grid prefills with the invoice's information from the Invoices form. Enter a comment for the invoice in the Comment Entry text box below the grid.

Entering More Comments

To enter more comments, click + Add Comment. In the new comment's row, which prefills with the information from the invoice you selected on the Invoices form, enter a comment for that invoice or change the prefilled information, such as the project or invoice, before you enter a comment.

IMPORTANT: When you change the prefilled information in a row, select the project first. The Invoice field is enabled only when a project is selected. If you select a billing client first and then select a project, the entry in the Billing Client field is removed, and the field prefills with a billing client based on the project and invoice you select in the row.

  • To enter a comment for the current or any past billing client for the project you selected on the Invoices form and not apply the comment to a specific invoice or project: Remove the project and invoice in the Project Number and Invoice fields. Select the billing client in the Billing Client field.
  • To enter a comment for another project's invoice that has the same billing client that is currently entered on the Accounting tab in the Projects hub for the project you selected on the Invoices form: Select that project in the Project Number field, and select the appropriate invoice in the Invoice field.

The comment that you enter in the Comment Entry text box applies for the row in the grid that you have selected (highlighted).

Grid Toolbar

Field Description
Click this icon to maximize the grid to a full-screen display. This expanded view reduces the need to scroll through long lists of records. Click it again to return to the standard grid display. For more information, see Maximize the Grid View.
Click this icon to add, remove, or change the order of columns in the grid. For more information, see Select Columns for a Grid.
Click this icon to export all the data from the grid into a .CSV (comma-separated values) file or an Excel file.
Click this icon to display the column filter options. Use the filter options to restrict the grid contents. For more information, see Filter the Grid Results.

Grid Fields

Field Description
Project Number

This field prefills with the project number of the project you selected on the Invoices form.

AR Comments for Projects with the Same Billing Client as the Project Selected on the Invoices Form

For new or existing AR comments, you can select a different project in this field. The drop-down list displays projects that have the same billing client currently entered on the Accounting tab in the Projects hub as the project that you selected on the Invoices form.

When you change the project in this field, the drop-down list in the Invoice field in the grid displays the invoices for the selected project. Select an invoice to add the comment to.

Project Name This field displays the name of the project that is entered in the Project Number field.
Invoice

This field prefills with the number of the invoice you selected in the Invoices grid on the Invoices form, which you can change.

If you change the prefilled information in a row, select the project first. The Invoice field is enabled only when a project is selected in the Project Number field.

The Invoice field drop-down list includes all the posted invoices for the project that you select in the Project Number field. (In the Project Number field, you can select any project that has the same billing client as the current billing client entered on the Accounting tab in the Projects hub for the project you selected on the Invoices form.)

The Invoice field drop-down list includes invoices with different billing clients if the project has had more than one billing client over the life of the project.

If you remove the invoice from this field and leave it blank, the AR comment that you enter for the row applies for the billing client that you select in the Billing Client field and not a specific invoice.

Billing Client

This field prefills with the name of the billing client for the invoice entered the Invoice field in the row.

AR Comments for the Billing Client

When you leave the Invoice field or the Project Number and Invoice fields blank for the row blank, the AR comment that you enter for the row applies for the billing client that you select in the Billing Client field. The drop-down list in the Billing Client field displays the current billing client and any past billing clients for the project you selected on the Invoices form.

After you save the comment for the billing client, the comment will display on the AR Comments dialog box for all projects that you select on the Invoices form that currently or previously had this billing client assigned to them on the Accounting tab in the Projects hub.

Credit Memo If a credit memo was created for the project or invoice in Interactive Billing, this field displays the credit memo number.
Date and Time This field displays the date and time the comment was entered or most recently updated.
Name This field displays the username of the person who most recently updated the comment.
Comment

This field displays the first few words of the comment that you entered in the Comment Entry text box below the AR Comments grid. Click in the field to display the entire comment.

If the AR Comments grid has a large number of comment rows, and you know some words that may be in the comment, enter the words in the Comment filter field at the top of the grid to filter the grid and find the comment based on the words.

+ Add Comment Click this option to add a new comment in a new row added to the grid. The row prefills with the information from the invoice you selected in the Invoices grid on the Invoices form, which you can change. The row prefills with the information from the invoice you selected in the Invoices grid on the Invoices form, which you can change.

If your security role does not have update access to accounts receivable comments, this option is not available.

Grid Row Tools

Field Description
To create a new comment by copying an existing comment row, hover over or click the row for the existing comment, click at the end of the row, and click Copy.

To delete a comment, hover over or click the row for the comment you want to delete, click at the end of the row, and click Delete.

Comments

Field Description
Comment Entry Text Box Select a row in the grid, and in this text box enter or edit the AR comment for that row. You can use the Text Editor () to format the comments. After you save the comment, the first few words of the comment display in the Comment field in the grid.
