Contents of the Create Bank Transaction Entries Dialog Box

Use the fields and options to create bank statement entries for bank fees, interest revenue, and other user-defined bank entries in Settings.

Field Description
Transaction Date Specify the transaction date.
Replace existing in progress cash entries of the same file name This field displays if you use files to group transactions. Select this checkbox if you previously created a bank entry for the transactions that is not yet posted, and you want to replace it with this new entry. The transaction file that contains the bank statement entry must have the same file name as the transaction file that you are replacing. You enter this name in the Cash Receipt File Name field or the Cash Disbursement File Name field.
Replace existing in progress cash entries of the same description This field displays if you do not use files to group transactions. Select this checkbox if you previously created a bank entry for the transactions that is not yet posted, and you want to replace it with this new entry. The individual transaction that contains the bank statement entry must have the same description as the transaction that you are replacing. You enter this information in the Decription field of the Cash Receipt Form or the Cash Disbursement Form.
Post transaction files when created Select this checkbox to post the bank entry transaction file automatically when it is created.

This option displays only if your security access rights include Full Access to all Transaction Types or the Post option is selected for Bank Reconciliation transaction type and the company on the Accounting tab of Settings > Security > Roles.

Reference Number Enter the reference number for the bank entries. The values for this field identify the bank entries on the Transaction List report.

Cash Disbursement

Field Description
Payee Enter the payee for the cash disbursement. It prefills with "<Bank code> <Transaction Date entered on this tab> <Code for your company>." You can change the name.
Diary This field displays only if you have set up a diary for the fiscal period or fiscal year in which you are entering transactions in the Diary Auto Numbering Options section of the Transaction Settings form in Settings > Accounting > Transactions.

Use this field to select a diary code for the current transaction or for the group of transactions, if you are processing a group of transactions. The diaries are used to generate diary reports that contain a set of sequentially numbered transactions that have been posted to the general ledger during the fiscal year or to specific fiscal periods. You can assign different diaries (that have different diary types) to different types of transactions.

The Diary drop-down list contains three columns. The first column displays the diary code. The second and third columns display the diary type for the diary code and the description of the diary type.

The drop-down list contains all the diaries that you set up in the Diary Auto Numbering Options section in Transactions Settings that either have the same fiscal period or fiscal year for which you are entering transactions or that have no fiscal period or year entered for them.

If you have multiple companies in Vantagepoint, the Diary field drop-down list includes only the diary codes that are set up for the current company. The list also includes IC - Intercompany Diary to capture intercompany transactions.

You cannot delete a transaction after it has been saved with a diary number. If a transaction is incorrect, you can enter zero amounts for the transaction or enter a reversing transaction.

Cash Receipt

Field Description
Comment Enter a comment for the cash receipt transaction. This field prefills with the following text, which you can change: "<Bank code> <Transaction Date entered on this tab> <Code for your company>."
Diary This field displays only if you have set up a diary for the fiscal period or fiscal year in which you are entering transactions in the Diary Auto Numbering Options section of the Transaction Settings form in Settings > Accounting > Transactions.

Reference Number

The number of fields in this section varies, depending on entries in the default and user-defined fields in the Bank entries grid of the Bank Reconciliation tab in Settings > Cash Management > Banks.

The default fields in this section are:

Field Description
Interest Revenue Enter the reference number for interest revenue.
Bank Fees Enter the reference number for bank fees.
Next Cash Receipt Enter a reference number for cash receipts that will be created from Bank Reconciliation. After Vantagepoint creates the cash receipt record or file, the value you enter in this field prefills the Reference Number field in the cash receipt record.
Create Click this button to create the bank entry (cash receipt or cash disbursement). Review and post the bank entry in Transaction Center > Transaction Entry > Cash Disbursements or Transaction Center > Transaction Entry > Cash Receipts.
Cancel Click this button to cancel your changes and close the dialog box.
