Combine Records Tab of the Firms Form (Key Conversions)

Use this tab to combine two existing duplicate firm records from the Firms hub into one firm record.

The two combined records are merged into one record in the Firms hub. All the accounts payable and accounts receivable transactions and fields that contain the firm name and ID that no longer exists are updated with the firm name and ID from the firm into which it was combined.

Warning: If your company uses an on-premises deployment of Vantagepoint, Deltek strongly recommends that you create a backup copy of your database before running the utility. There is no way to undo this process without a backup database.

If your company has an on-premises deployment of Vantagepoint, your company manages your database backup. If your company has a cloud-based deployment of Vantagepoint, coordinate with Deltek about your database backup.

Combining Records Grid Columns

Field Description
Existing Firm Name Enter or select an existing firm to merge into another firm. When you select a firm, the list includes all types of firms—clients vendors, competitors, and government agencies. (A firm's type is entered on the Summary pane in the Firms hub.) If a firm ID was entered for a firm, the firm's ID also displays with the firm name in the list.

After the merge, this selected firm record in this column will no longer exist in the Firms hub. All of its information is combined with the existing firm record that you enter in the New Firm field in the grid.

Existing Firm Number This column displays the vendor number for the firm that you entered in the Existing Firm field if the firm has a vendor number. If the firm does not have a vendor number, Not Defined displays in the Vendor Number field.
New Firm Name Enter or select the existing firm that becomes the merged firm record. When you select a firm, the list includes all types of firms—clients vendors, competitors, and government agencies. (A firm's type is entered on the Summary pane in the Firms hub.)

After the merge, data from the selected firm record in the Existing Firm Name column is transfered to the selected firm record in this column. The firm that is entered in this column still exists in the Firms hub.

New Firm Number This column displays the vendor number for the firm that you entered in the New Firm field if the firm has a vendor number. If the firm does not have a vendor number, Not Defined displays in the New Vendor Number field.

Combining Records Grid Options

Field Description
+ Add Firm Click + Add Firm below the grid, and in the blank row added to the grid, specify the two existing firm records that you want to combine. You add a row for each pair of firms that you want to combine.
X Click X at the end or a row to delete the row.
