Enable Phases or Tasks

To enable phases on a project with no phases, or to enable tasks on a phase with no tasks, use the Enable Phases/Tasks utility. If a project is referenced in a Units by Project transaction file, enabling phases or tasks for the project also updates the unit by project transaction file.

Warning: If your company uses an on-premises deployment of Vantagepoint, Deltek strongly recommends that you create a backup copy of your database before running the utility. There is no way to undo this process without a backup database.

If your company has an on-premises deployment of Vantagepoint, your company manages your database backup. If your company has a cloud-based deployment of Vantagepoint, coordinate with Deltek about your database backup.

Note the following:
  • If you enable phases or tasks when the Include in Fees checkbox is selected for contracts for a project on the Contract tab of the Contract Management form, Vantagepoint may, in some cases, need to clear this checkbox for one or more contracts so that you can reallocate contract amounts to lower-level work breakdown structure (WBS) elements in the Contract Details grid. In those cases, a message displays when you make this WBS change to notify you that the checkbox has been cleared. Once you have completed the allocations, you can reselect the checkbox.
  • If you enable phases or tasks when Use Revenue Forecasts is selected as the allocation method for a project on the Estimated Fee tab of the Contract Management form, the existing revenue forecast information at the previous lowest WBS level is moved down to the new lowest level and the revenue forecast start and end dates from the parent WBS level are assigned to the new level.

To enable phases or tasks:

  1. In the Navigation pane, select Utilities > Key Conversions > Enable Phases/Tasks.
  2. On the Enable Phases/Tasks form, click + Add Project.
  3. If you are adding the first phase for a project, specify the existing project. If you are adding the first task for a phase, specify the existing project and phase.
  4. If you are adding the first phase under a project, enter the new phase number and phase name. If you are adding the first task under a phase, enter the new task number and task name.
  5. Select one of the following actions:
    • To enable phases or tasks now, click Run.
    • To schedule the utility to run at a later time, click Schedule and complete the fields on the Schedule dialog box.
