Projects (Key Conversions)

Use the Key Conversion utility for projects to change a project number or to combine (close out) project data into a single project.

When you combine project numbers, Vantagepoint:
  • Combines budgets and data in the project financials tables
  • Deletes billing terms and invoice detail (you cannot reprint old invoices)
  • Updates the accounts receivable paid period to the most recent period
  • Combines plan and revenue forecast data for the projects
  • Removes the link to a promotional project if a link exists for the existing project

In addition to combining data between two existing project numbers, you can use the Project Closeout utility to set up a new project number in which to close out project numbers that are no longer in use. See Project Closeout Utility for additional information.

Prerequisite: Back up your Vantagepoint database.

Combine Projects

You can combine projects to merge existing project records. The project defined under Existing Project will merge into the existing project defined under New Project. Combining the projects will merge the records and all associated details and transactions.

Use Revenue Forecasts

Before you combine projects, consider the following when Use Revenue Forecasts is selected as the allocation method for either or both of the projects on the Estimated Fee tab of the Contract Management form. (This option is available only if you have the Resource Planning module.)
  • If you are using multiple currencies and the currency associated with the Currency to Store selection differs between the projects, they cannot be combined.
  • If both projects use revenue forecasts, Vantagepoint uses the combined revenue forecast data and, if necessary, expands the revenue forecast dates to encompass the dates from both projects.
  • If the project defined under Existing Project uses revenue forecasts and the project defined under New Project does not, Vantagepoint eliminates the revenue forecast data from the existing project when the projects are combined.
  • If the project defined under Existing Project does not use revenue forecasts and the project defined under New Project does, Vantagepoint uses the revenue forecast data from the new project when the projects are combined.

Pre-Award Numbers

This information applies if you have the Pre-Award Project Numbering feature turned on. For information about this feature, see Using Different Numbering Systems for Pre-Award and Awarded Projects.

When you combine two projects and the stage for one project is a won stage and the stage for the other is not a won stage, the pre-award number from the winning project is retained and the other project's pre-award number is lost. A project's stage is entered in the Stage field in Summary pane on the Projects form of the Projects hub.

Change the Project Number of a Project

You can change the project number for project records. The project will be updated as well as any associated details and transactions.
