Contents of the Find Resources Pane

Use the fields and options in the Find Resources pane in Resource View to find and select the resources that you want to assign to projects, or for which you want to enter or review planned hours.

If the Find Resources pane is not visible at the left of the grid, click in the upper-left corner of the Resource View form to display it.

The fields described below either display by default in the Find Resources pane or when you click + Add Field to add them to the pane. If your enterprise does not set up any valid values for a default field that requires a drop-down selection list, that field does not display in the pane. If valid values are set up for it later, that field then automatically displays in the pane.

Most search fields have one or more of the following operator options that you select either from the operator drop-down list at the left end of the field or by clicking Special Selections on the drop-down list for the field itself:
  • Equals: Search for records that have a value in the field that exactly matches one of the values in the search field.
  • Not Equal: Search for records that have a value in the field that does not match any of the values in the search field.
  • Starts With / Contains: If you enter one character in the search field, search for records that have a value in that field that starts with that character. If you enter more than one character in the search field, search for any records that have a value in that field that contains those characters.
  • Is Empty: Search for all records for which the field is blank.
  • Is Not Empty: Search for all records for which the field is not blank.
  • Is Me: For employee fields, search for records that have you in that field. For example, to find employees for whom you are the supervisor, you could select the Is Me option for the Supervisor search field. (Use the Not Equal operator along with this one to do an "is not me" search.)
  • Is Mine: For full organization or organization level search fields, search for records for which the organization matches the organization to which you are assigned in the Employees hub. (Use the Not Equal operator along with this one to do an "is not mine" search.)
  • Is Active Company: For a full organization search field or organization 1 search field, search for records for which the organization 1 matches the current active company (the currently selected company). (Use the Not Equal operator along with this one to do an "is not the active company" search.)

When you create a search, you have the option to save it so you can use it in the future without having to specify the search parameters again. For example, you could create and save searches that return your under-utilized resources, resources with a particular skill, or resources assigned to the projects that you manage.

Depending on your search security rights, you can also save searches for others assigned to the same role, for other specific roles, of for all security roles (everyone). If you do not have the security rights to save for others, then you can only save personal searches for yourself.

Clearing or saving the search parameters in the Find Resources pane has no effect on any filter parameters that are set in the Projects Filter field.

Field Description
Saved Searches

Click in this field to select and start a predefined resource search or to select one of your previously saved resource searches.

The following predefined searches are available:
  • All Resources: This search returns all active employees and generic resources.
  • All Employees: This search returns all active employees.
  • Employees I Supervise: This search returns all active employees for whom you are the supervisor.
  • Generic Resources: This search returns all active generic resources.
  • Resources in My Organization This search returns all active employees and generic resources that are assigned to the same organization as you are. The search looks for matches of your full organization ID. If you are not using organizations in Vantagepoint, this search is not available.

To rename a saved search, select that search in Saved Searches and click this icon to the right of the field. In the Rename Search dialog box, enter the new name and click Save.

This icon only displays if you select a saved search.

To delete a saved search, select that search in Saved Searches and click this icon to the right of the field, and click Delete when you are asked to confirm the deletion.

This icon only displays if you select a saved search.

Select Resources To select one or more resources by name, do any or all of the following:
  • Click to select a resource from the full list.
  • Enter one character in this field and pause to display and select from a list of resources with names that start with that character. You can also select the Starts With option at the top of the drop-down list to search for any resources with names that start with that character.
  • Enter two or more characters and pause to display and select from a list of resources with names that contain those characters. You can also select the Contains option at the top of the drop-down list to search for any resources with names that contain those characters.

Note that Select Resources and the set of search fields under Find Resources function independently of each other. If you select specific resources in Select Resources and you also select search criteria under Find Resources, the search joins those two sets of criteria using an OR conjunction and returns resources that satisfy either set of criteria. For example, if you select a set of specific employees in Select Resources and you also select CADD Technician in Skills under Find Resources, the search returns both the full set of specific employees you selected, regardless of their skills, AND any employees or generic resources that have the CADD Technician skill.

Resource Type If this field is blank, the search includes both employees and generic resources. To restrict the search, select either the Employees Only or Generic Resources Only option in this field. If you choose Generic Resources Only, some other fields in the pane are disabled.
Status To restrict the search to resources with a specific status (only those with the Active status, for example), select the status.
Utilization If your search includes named resources (Resource Type is either blank or contains Employees Only), use this field to search for employees that are either under-utilized or over-utilized:
  • If this field is blank, the search does not consider utilization.
  • Select Over-utilized only to return named resources with planned billable hours that exceed their target utilization range.
  • Select Under-utilized only to return named resources with planned billable hours that are less than their target utilization range.

This search option does not apply to generic resources. They are either included or excluded based on your other search criteria.

Supervisor

To search for employees based on their supervisors, select one or more supervisors in this field. If you select Generic Resources Only in Resource Type, you cannot search based on supervisor.

Organization Name

To search for resources based on their organization, select one or more organizations in this field. For example, you could search for resources that are assigned to any of three organizations that you select in this field.

Be aware that generic resources are not required to have an organization. If you search for generic resources based on organization, the search returns all generic resources assigned to the organizations you specify, and it also returns all generic resources that have no organization.

Labor Category

To search for resources based on their labor category, select one or more labor categories in this field. For example, you could search for resources that are assigned to any of three labor categories that you select in this field.

Skills

To search for named resources based on their skills, select one or more skills in this field. If you select Generic Resources Only in Resource Type, you cannot search based on skills.

If in addition to specifying skills, you want to specify the desired or required skill level (years of experience or level of proficiency using a skill, for example), click Set details above the Skills field to display the Set Skill Levels dialog box. There, you can select one or more skill levels and skill usage descriptions (how frequently a resource uses the skill or how long they have used the skill) so that the search only returns resources with skills that match those level and usage requirements. You can also use the dialog box to add other skills to the search criteria. ( displayed next to Set details indicates that some skill levels have been set for the search.)

Title

To search for named resources based on their job titles, select one or more titles in this field. If you select Generic Resources Only in Resource Type, you cannot search based on job titles.

Credentials

To search for named resources based on their certification and licenses, select one or more credentials in this field. If you select Generic resources only in Resource Type, you cannot search based on credentials.

If in addition to specifying a credential, you want to specify the state or province in which the credential is valid or you want to specify that the credentials cannot expire before a particular date, click Set details above the Credentials field to display the Set Credentials Details dialog box. You can also use the dialog box to add other credentials to the search criteria. ( displayed next to Set details indicates that some credential details have been set for the search.)

Citizenship

To search for named resources based on their citizenship, select one or more citizenship statuses in this field. If you select Generic resources only in Resource Type, you cannot search based on citizenship.

Location To search for named resources based on their location, select one or more locations in this field. If you select Generic resources only in Resource Type, you cannot search based on location.
+ Add Field

Vantagepoint provides a default set of fields in the search pane. To add a field, click + Add Field at the bottom of the dialog box and select the new search field from the drop-down list. If you need to filter the resource search based on values in other Employee hub fields, you can add more fields to the Find Resources pane. The available search fields are specified in Settings > Resource Planning > Resource Settings.

In some cases, you can also delete fields from the search pane that you never expect to use. To delete a field, hover over the field and click X to the right of the field name.

When you add or remove fields and click Save or Search, that new set of fields becomes the default set for any new searches you create. The changes do not affect the fields that are available when you edit an existing saved search that used a different set of fields.

Adding or removing fields on the search pane only affects the fields displayed for your custom searches. It does not affect other Vantagepoint users.

x Clear All If you enter search parameters and then decide you want to clear all of them and start over, click this option at the bottom of the search pane. Vantagepoint removes entries from all fields. It also removes any fields that are not in the default set of fields.
Save Click this option to display the Save Options dialog box, where you can save a search for yourself or others.
Search

To perform the search without saving it, click this option. If the results are not what you want, make the necessary changes to the search parameters and click Search again.
