Contract Tab of the Plan Form

Use the Contract tab on the Plan form of the Projects hub to view a detailed analysis of the contract information related to the current project. This includes calculations, specific breakdowns of amounts, and other plan details down to the designated work breakdown structure (WBS) level.

The amounts on this tab come from or are calculated from the amounts entered on the Compensation tab of the Contract Management form in the Projects hub (Hubs > Projects > Contract Management). You cannot make changes to most amounts on this tab; you must make them on the Contract Management form.

If the Resource Planning module is activated, you can enter contract amounts for units on this tab. This applies if the project is in a company that has unit planning enabled.

In the upper-right corner of the Plan form, the Show field indicates whether the amounts are displayed at cost or at billing. You can switch between Cost and Billing if both budget types are selected for the project plan on the General tab of the Plan Settings dialog box (Other Actions > Plan Settings).

  • If the project is in a single currency database, the amounts that display on this tab, at either cost or billing, are the same.
  • If the project is in a multicurrency database, the currency in use is indicated next to Cost or Billing in the Show field. The project currency is always used when you view the amounts at cost. The Use Billing (Not Project) Currency for Reporting option in Settings > Accounting > Labor Options determines whether or not the amounts change when you view the plan at billing. If the option is set to Yes, the amounts display in the billing currency. Otherwise, amounts continue to display in the project currency when you view the plan at either cost or billing.

Contents: Left Grid Section

This section of the grid displays the WBS elements at each level of the plan WBS.

Field Description
Level

This column displays the elements in the plan structure. In either case, you can expand or collapse the levels of the structure.

By default, only names display for WBS elements, but you can display WBS numbers along with the names. Click in the upper-right corner of the grid, and select the Show Project Numbers checkbox on the Grid Settings dialog box.

Click the arrow next to an element of the structure to expand or collapse the elements on the next lower level.

The columns described below are the columns that are potentially available to display in the grid. Click in the upper-right corner of the grid to add or remove columns. When setting up Vantagepoint, your system administrator may decide that some columns will not be used. Those columns will not be available for selection.

Field Description
Status

This column displays the status of the WBS element: (Active), (Inactive), or (Dormant).

Notes

If the icon displays in this column for a WBS element, click that icon to review or edit the existing notes for that element.

If the icon does not display for a WBS element, hover over the row and click to add a note for that element.

A note entered on this tab is also available in the Notes column on all of the other planning tabs on the Plan form. The plan notes for a WBS element are also displayed in an info bubble, along with other information for that element, when you click on the WBS element in any of the planning grids in the Projects hub or in Resource Management.

Organization

If Vantagepoint is set up to use organizations, this column displays the organization with which each WBS element is associated.

Project Manager

This column displays the project manager for the WBS element.

Labor

This column displays the direct labor compensation amount for each WBS element.

The amounts in this column also display in the Contract column on the Labor tab.

If the project is in a unit planning company, any Units Labor amount is subtracted from the direct labor compensation amount, which then reduces the amount in this column.

Direct Expenses or Indirect Expenses

This column heading is displayed based on the project's charge type.

  • For regular charge type projects, this column displays the direct expenses compensation amount for each WBS element.
  • For promotional charge type projects, this column displays the indirect expenses compensation amount for each WBS element.

The sum of the amounts in this column and the amounts in the Reimbursable Expenses column displays in the Contract column on the Expenses tab.

If the project is in a unit planning company, the Units Direct Expenses or Units Indirect Expenses amount is subtracted from the direct or indirect expense compensation amount, which then reduces the amount in this column. This only applies to regular and promotional charge type projects.

Compensation

This column displays the compensation amount: Labor + Direct Expenses or Indirect Expenses.

If the project is in a unit planning company, this column displays the sum of Labor, Direct Expenses or Indirect Expenses, Units Labor, and Units Direct Expenses or Units Indirect Expenses.

Direct Consultants

This column displays the direct consultants compensation amount for each WBS element.

The sum of the amounts in this column and the amounts in the Reimbursable Consultants column displays in the Contract column on the Consultants tab.

If the project is in a unit planning company, the Units Direct Consultants amount is subtracted from the direct consultants compensation amount, which then reduces the amount in this column.

Reimbursable Allowance

This column displays the reimbursable allowance compensation amount for each WBS element, which is all expenses that will be reimbursed to your company by the client: Reimbursable Expenses + Reimbursable Consultants.

If the project is in a unit planning company, this column displays the sum of the amounts in Reimbursable Expenses, Reimbursable Consultants, Units Reimbursable Expenses, and Units Reimbursable Consultants.

Reimbursable Consultants

This column displays the reimbursable consultants compensation amount for each WBS element.

The sum of the amounts in this column plus the amounts in the Direct Consultants column displays in the Contract column on the Consultants tab.

If the project is in a unit planning company, the Units Reimbursable Consultants amount is subtracted from the reimbursable consultants compensation amount, which then reduces the amount in this column.

Reimbursable Expenses

This column displays the reimbursable expenses compensation amount for each WBS element.

The sum of the amounts in this column plus the amounts in the Direct Expenses or Indirect Expenses column displays in the Contract column on the Expenses tab.

If the project is in a unit planning company, the Units Reimbursable Expenses amount is subtracted from the reimbursable expenses compensation amount, which then reduces the amount in this column.

Total Contract

This column displays the total contract amount for each WBS element: sum of the amounts in Labor + Direct Expenses or Indirect Expenses + Direct Consultants + Reimbursable Expenses + Reimbursable Consultants. If the project is in a unit planning company, the total contract amount also includes all unit contract amounts.

% of Total Contract

This column displays each WBS element's percentage of the total contract for the project: Total contract amount for the WBS element / Total contract amount for the project x 100.

This column is available only if the Project Entering Method option is set to At Lowest Level Only on the Contract Management settings form (Settings > Project > Contract Management).

Click this icon in the upper-right corner of the grid to display the Grid Settings dialog box and do either of the following:

  • Display WBS numbers along with names in the grid
  • Add or remove grid columns

To display the Contract Calculations chart and the Contract Breakdown chart for a WBS element, hover over or click the WBS row and click this icon at the end of the row.

The charts display on the Contract Charts dialog box. If you leave the dialog box open, you can select other rows in the grid, and the charts update automatically to reflect the currently selected row.

Unit Contract Columns

Use the unit contract columns to indicate which portion of a compensation amount is used for units. You can display unit contract columns and enter unit contract amounts if all of the following are true:
  • Unit planning is enabled for the project's company.
  • Your system administrator set the columns to be available for selection when you click in the upper-right corner of the grid.
  • The project has a regular or promotional charge type.

If the Cost and Billing budget type is selected in Plan Settings and the project uses different project (cost) and billing currencies because the Use Billing (Not Project Currency) for Reporting is set to Yes in Settings > Accounting > Labor Options, you can enter both unit contract amounts.

The selected Project Entering Method in Settings > Project > Contract Management determines whether you can enter unit contract amounts at all levels of the work breakdown structure or only at the lowest level.

The Contract column on the Units tab displays the total unit contract amount for the WBS row. For more information on unit contract columns, see Entering Amounts in Unit Contract Columns.

On the Grid Settings dialog box, the following columns display with a (Unit Planning) label if some companies in your database have unit planning enabled but others do not. This is to indicate that these columns only apply to projects in a company that can plan units.

Field Description
Units Labor

This column displays the direct labor compensation amount used for units.

Units Direct or Indirect Expenses

The column heading displayed is based on the project's charge type.

  • For regular projects, this column displays the direct expense compensation amount used for units.
  • For promotional projects, this column displays the indirect expense compensation amount used for units.
Unit Direct Consultants

This column displays the direct consultant compensation amount used for units.

Units Reimbursable Expenses

This column displays the reimbursable expenses compensation amount used for units.

Units Reimbursable Consultants

This column displays the reimbursable consultants compensation amount used for units.
