Assign Resources to Projects in Project Planning

To assign one or more resources to work on a project, navigate to the Plan form in the Projects hub, select the project, and specify the resource assignments on the Assign Resources to Project dialog box.

In addition to resources that you assign using the procedure below, employees with no planned hours but with JTD hours charged to a work breakdown structure (WBS) element in the plan are assigned automatically and display in the grid as well.

To assign one or more resources to a project:

  1. In the Navigation pane, select Hubs > Projects > Plan.
  2. At the top of the Plan form, enter either a complete or partial name or number in the Find project lookup field to find and select the project for which you want to assign planned resources.
  3. On the Actions bar, click Check Out.
  4. Click the Labor tab.
  5. Do one of the following:
    • To assign resources to WBS elements in all or many of the branches of the plan structure, hover over the Level/Resource value in the project-level row in the grid to display the icon, and click the . Vantagepoint displays the entire plan WBS on the Assign Resources to Project dialog box.
    • To assign resources to plan elements in just one branch of the plan WBS (a single phase, for example), hover over the Level/Resource value in the top-level row for that branch in the grid to display the icon, and click the . Vantagepoint displays that branch of the plan WBS on the Assign Resources to Project dialog box.

    If displays in this field where normally does, the plan element is dormant. You cannot add new assignments for a dormant element or any elements under it in the plan. The Status column in the middle grid shows the status for the currently selected WBS row (project, phase, or task): (Active), (Inactive), or (Dormant).

    As an alternative to clicking , you can click at the end of the row and click Assign Resources to open the Assign Resources to Project dialog box.

  6. By default, the dialog box displays all employees and generic resources. To restrict the list, do either or both of the following:
    • In the top Search field, select a standard search or a saved custom search.
    • In the bottom Search field, enter one or more search characters to further restrict the list. Vantagepoint displays a list of resources for which at least one of the following starts with those search characters: employee preferred name, employee first name, employee last name, employee name suffix, employee ID, generic resource name, labor category.
  7. In the list of resources, select the checkbox next to those that you want to assign.
  8. In Level column, expand the plan WBS to display the active and inactive WBS elements to which you want to assign the selected resources.

    You can assign resources only to the lowest-level WBS elements in each branch of the structure. A displays next to those elements.

  9. In the Select column, click next to each of the WBS elements to which you want to assign the selected resources.

    The resources are added, as pending assignments, to the list of assigned resources for each of the selected elements. You can expand those elements to display all currently assigned resources.

  10. To assign other resources to the project, repeat steps 6 - 9.
  11. If you consider the new assignments hard booked, select the Hard Book checkbox.

    This checkbox is available only if Vantagepoint is configured to use soft and hard booking and if you have the required security access to hard book assignments.

  12. To confirm all of the new assignments and close the dialog box, click Assign.
