Contents of the Assign Resources to Project Dialog Box

Use the fields and options to assign resources to work on the project that you selected in the Projects hub or in Project View.

Field Description
Search fields By default, the dialog box displays all resources, but you can use either or both of the two Search fields to restrict the list:
  • In the top Search field, select a standard search or a saved custom search. The following are the standard searches:
    • All Resources: This option returns all active employees and generic resources.
    • All Employees: This option returns all active employees. Excludes generic resources.
    • Employees I Supervise: This option returns all active employees for whom you are the supervisor.
    • Generic Resources: This option returns all active generic resources. Excludes employees.
    • Resources in My Organization: This option returns all active employees and generic resources that are assigned to the same organization as you are. The search looks at the full organization name only. If Vantagepoint is not configured to use organizations, this option is not available.

    The custom searches that are available for selecting resources are available here also. No inactive resources are included in custom search results.

  • In the bottom Search field, enter one or more search characters to further restrict the selection list. Vantagepoint displays a list of resources for which at least one of the following starts with those search characters: employee preferred name, employee first name, employee last name, employee name suffix, employee ID, generic resource name, labor category. This search is applied only to the list of resources that was returned by the search that you selected in the top Search field.

When you select a search in the top Search field, employees are listed first, followed by generic resources, if the search results include both types of resources. However, if you use the bottom Search field, the results are sorted alphabetically by name, so employees and generic resources are likely to be intermingled.

Resource grid

This grid column displays a list of resources based on your entries in the two Search fields. Select the checkboxes next to the resources that you want to assign to the project. The number of resources selected displays below the grid.

Scheduled %

For each employee, this grid column displays the percentage of available hours in the plan date range that are currently scheduled for the selected project or for any other project. The plan date range used in this calculation is the date range for the highest-level work breakdown structure (WBS) element displayed in the planning grid.

Scheduled % = (Employee's total scheduled hours in plan date range / (Employee's hours per day x Total work days in plan date range)) x 100

Scheduled hours are planned hours for overhead projects, promotional projects, regular won projects, and any in pursuit projects that meet the criteria for inclusion in the percentage calculation that are specified on the Plan Settings form (Settings > Resource Planning > Plan Settings).

This column is blank for generic resources.

Clear Selections

If you select some resources and then decide you want to clear all of those selections and start over, click this option. If no resources are selected, this option does not display.

Plan Structure grid

Select and Level
This grid displays the plan's active and inactive WBS elements in Level, along with any existing resource assignments.
  • If you opened the Assign Resources to Project dialog box from the top-level project row in the planning grid, the entire plan WBS for that project is available in this grid.
  • If you opened the dialog box from a lower-level WBS element, only that element and the parts of the WBS under that element are available.

Expand the hierarchy to display the WBS elements to which you want to assign the selected resources, and click under Select next to each of those elements.

These new assignments are only pending assignments at this point. The actual assignments and update of the plan occur when you click the Assign button at the bottom of the dialog box. The number of pending assignments displays next to the Assign button.

You can assign resources only to the lowest-level WBS elements in each branch of the structure. A displays next to only these elements. You can also expand lowest-level elements to display any resources that are already assigned to them.

If you add an assignment and then want to remove that assignment, hover over the resource row in the plan structure grid and click at the end of the row. This option is available only for pending resource assignments. To delete an assignment that was added to the plan previously, use the delete option for the assignment row in any of the planning grids.

Field Description
Hard Book

If you consider the new assignments hard booked, select this checkbox. This checkbox is available only if Vantagepoint is configured to use soft and hard booking and you have the required security access to hard book assignments.

Assign Click this button to confirm the assignments, close the dialog box, and update the plan information.
