Convert Project Number Formats

To reformat the length, delimiter, or delimiter position for your project numbers, use the Key Format utility for project numbers.

If you are making a key format project number change for a project that is synced to PIM, make sure to verify your PIM connection first. On the Setup tab in Utilities > Integrations > PIM, you must select the Enable Sync to PIM and the relevant Projects hub and charge type checkboxes. When you finish, click Test Connection to verify that you can connect from Vantagepoint to PIM. Otherwise, the key format project number change does not sync to PIM.

When you install Vantagepoint, the default work breakdown structure (WBS) has only the project level (WBS 1 level). Use this utility to change the default settings for that level to meet the needs of your enterprise.

If you want to have the option to use the phase level (WBS 2 level) or the phase and task levels (WBS 2 and 3 levels, use the key format conversion utilities for phases and tasks to specify the format information for those levels.

Warning: If your company uses an on-premises deployment of Vantagepoint, Deltek strongly recommends that you create a backup copy of your database before running the utility. There is no way to undo this process without a backup database.

If your company has an on-premises deployment of Vantagepoint, your company manages your database backup. If your company has a cloud-based deployment of Vantagepoint, coordinate with Deltek about your database backup.

To reformat project numbers:

  1. In the Navigation pane, select Utilities > Key Formats > Projects.
  2. On the Project Number Format form, set the Display Leading Zeros option to Yes to automatically add leading zeros to the project number when you enter an incomplete number in any Project field.
  3. In the Field Length field, enter the project number length.
  4. In the Add/Remove Length From option, select Left or Right to identify where you want to add or remove characters from the project number.
  5. In the Delimiter Symbol and Second Delimiter Symbol fields, enter the delimiter, such as a comma or period, for your project numbers.
  6. If you specify the delimiter symbol and second delimiter symbol, use the Delimiter Position and Second Delimiter Position field to specify the respective symbol's position in the project number.
  7. Review the value in the Sample Value field to see the format as it will be after the key format utility is run.
  8. Select one of the following actions:
    • To make the change immediately, click Run.
    • To schedule the change process to run at a later time, click Schedule and complete the fields on the Schedule dialog box. The change takes effect after the process is completed.
    Other applications, and any transactions that reference the affected records, are updated automatically.

When you run this utility, the sync between Vantagepoint and PIM is maintained. The utility changes both the project number in Vantagepoint and the corresponding project number in PIM.
