Contents of the Billing Labor Delete Dialog Box

Use these fields to specify that all or part of a labor transaction be deleted from the set of billable transactions in Interactive Billing and not be billed on any invoice.

The only fields that you can edit on this dialog box are Regular Hours, Overtime Hours, and Overtime-2 Hours.

Field Description
Project These fields display the number and name for the project that is associated with the transaction.
Phase These fields display the phase number and name, if a phase is associated with the transaction.
Task These fields display the task name and number, if a task is associated with the transaction.
Employee These fields display the number and name of the employee who worked the hours that are entered in the Hours fields (Regular, Overtime, Overtime-2).
Labor Code This field displays the labor code that is associated with the labor transaction, if you use labor codes.
Date This field displays the date of the labor transaction; for example, the date of the transaction entered on a timesheet or the date specified for the transaction on a billing labor insert.
Comment This text box field displays the comments that were entered for the transaction when the transaction was entered, for example on a timesheet or through a billing labor insert.
Regular Hours This field prefills with the number of regular labor hours entered for the transaction. To specify that all the regular hours be deleted from the set of billable transactions, leave the prefilled number of hours in this field. To specify that a portion of the regular hours be deleted, enter the number of hours to delete in this field.
Overtime Hours This field prefills with the number of overtime hours entered for the transaction. To specify that all the overtime hours be deleted from the set of billable transactions, leave the prefilled number of hours in this field. To specify that a portion of the overtime hours be deleted, enter the number of hours to delete in this field.
Overtime-2 Hours This field prefills with the number of overtime-2 hours entered for the transaction. To specify that all the overtime-2 hours be deleted from the set of billable transactions, leave the prefilled number of hours in this field. To specify that a portion of the overtime-2 hours be deleted, enter the number of hours to delete in this field.

This field is available only if you set Enable Secondary Overtime to Yes in Settings > Accounting > Labor Options.

Tax Code Override 1 This field displays the tax code that you entered in the Tax Code Override 1 field on the Billing Labor Modify dialog box or on the Billing Labor Insert dialog box for the labor transaction.
Tax Code Override 2 This field displays the tax code that you entered in the Tax Code Override 2 field on the Billing Labor Modify dialog box or on the Billing Labor Insert dialog box for the labor transaction.
Delete

Click this button to delete the hours entered in the Regular Hours, Overtime Hours, and Overtime-2 Hours fields from the transactions and not bill them on any billing invoice.

You are returned to the Labor tab of the Interactive Billing form where you see the following:

  • If you did not change the prefilled number of hours in the hours fields for the transaction, the transaction displays in the Labor grid with its original number of hours and its status changed to Delete. The entire transaction will be deleted and not billed.
  • If you entered a portion of the hours to delete in the hours fields, the original transaction is split in two. One transaction displays in the Labor grid with a Delete status and shows the number of hours to delete. The original transaction with its original status displays in the grid, with its hours reduced to reflect the deleted hours.

When you change a transaction's status to Delete, it is removed from the set of billable transactions on the Labor tab when the next invoice is final accepted. The transaction is not deleted from the Vantagepoint database. It still exists as posted for project control and other accounting purposes. This allows you to run reports that distinguish between write-off transactions (hours charged but cannot be billed) and transactions that were entered but removed before invoicing, possibly due to a data entry error.

Cancel Click this button to return to the Labor tab without specifying that the hours entered in the Regular Hours, Overtime Hours, and Overtime-2 Hours fields be deleted and not billed on any invoice. The transaction remains in the grid on the Labor tab with its original status.
