Summary Pane of the Projects Hub

Use the Summary pane in the Projects hub to quickly survey project information that is important to your team. The Summary pane displays on most of the Projects hub forms.

The WBS level that you are viewing does not affect the layout of fields, but it can change the information displayed in certain fields. For example, on the Summary pane, the project number is the same regardless of the level that you are viewing, but contract start and end dates can be different at the project, phase, and task levels.

If you navigate to a different WBS level using the Project Structure dialog box, the data refreshes to reflect the database values for the selected level. When a field contains the same data at each level, you can edit that field only at the project level. For those fields that contain different data at each level, you can also edit the fields at the phase and task levels, if you have the proper security rights at the project level.

Your system administrator can customize the information displayed in the Summary pane to meet the needs of your enterprise.

Field Description
Project/Phase/Task Number This field displays the number of the currently selected project, phase, or task. Vantagepoint disables this field when you are editing an existing project. To change the number for an existing WBS element, you must do a key conversion.
Status Select the status of the currently selected WBS element (project, phase, or task). The status determines where you can view or select the WBS element in other parts of the user interface.

The status settings are:

  • Active: You can use the WBS element in any transaction that requires it.
  • Inactive: Vantagepoint displays a warning if you try to use the WBS element in any transaction that requires it. You must decide whether to proceed with the transaction after you receive the warning.
  • Dormant: Vantagepoint prevents you from using the WBS element in any transaction, except for receipt, invoice, and historical data entry, and bill processing. Vantagepoint displays a warning when you process receipts, invoices, historical data, and bills, but you can complete the transaction. A dormant WBS element cannot be added to a line on a time sheet or an expense report.

If you change the status of a regular project to Inactive or Dormant and that project has a linked promotional project, you are also given the options to change the status of the promotional project to Inactive or Dormant or to leave it with the Active status.

Project Type Select the project type (for example, Environmental, Transportation, or Medical).
Responsibility Select your enterprise's responsibility or role for the project (for example, Prime, Subcontractor, Unknown).
Stage Select the project's current stage in the pipeline (for example, Lead, Proposal, Won, or Lost). The stage applies to the project as a whole. You cannot assign stages to individual phases or tasks.

This field is only available if the project is a regular project (not an overhead or promotional project) and if one or more of these modules are activated: CRM, CRM Plus, or Resource Planning. If none of these is activated, this field does not display, and all regular projects are treated as won projects.

If you change the stage to a won stage and your security role is for Accounting users, the Approved for Use in Processing check box on the Accounting tab of the Projects form is selected automatically at the project level of the WBS to indicate that accounting transactions can now be entered for the project. Note, however, that this check box is not automatically selected for any lower level WBS elements; you must select it individually for any of those elements that you want to approve for processing.

Depending on how Vantagepoint is set up and depending on what the prior and new stages are, changing the stage of a project may also change whether or not the project should be included when calculating utilization and scheduled hours and percentages that are used for resource planning and resource management. That calculation status is displayed in Capacity Calculation in this summary pane.

In some cases when you select a stage, additional fields display for entering supporting information about the stage change.

Capacity Calculation This field indicates if the project is included in the calculation of scheduled hours and percentages and of utilization hours and percentages that are used for resource planning and resource management:
  • Projects assigned to a won stage are always included in both calculations.
  • Projects assigned to a lost or do not pursue stage are always excluded from both calculations.
  • Projects assigned to an in pursuit stage are either included in both calculations or excluded from both, based on the Include Projects in an In Pursuit Stage in Scheduled and Utilization Calculations setting on the Plan Settings form (Settings > Resource Planning > Plan Settings.)
  • Projects with either the Overhead or Promotional charge type are always included in scheduled calculations and excluded from utilization calculations.
In most cases, you cannot change the contents of this field. However, if the project is an in pursuit project, you may be able to change it, depending on the Include Projects in an In Pursuit Stage in Scheduled and Utilization Calculations setting on the Plan Settings form:
  • If Vantagepoint is set up to allow inclusion of in pursuit projects in these calculations on a project-by-project basis, you can select the option you want in this field for the currently selected project.
  • If Vantagepoint is set up to allow inclusion of in pursuit projects in these calculations if they are assigned to certain stages, this field may change if you assign the project to a different stage.
  • If Vantagepoint is set up to allow inclusion of in pursuit projects in these calculations when they have a specified level of probability, this field may change if you change the probability for the project.

If you receive an "Invalid Capacity Calculation" message when you try to save changes to a project, it could be because a workflow has updated the stage but did not also update the capacity calculation status. Contact your system administrator if this occurs.

Opened This field displays the date on which you began pursuing the project. Click next to Stage to select the date.

This field is only available if the project is assigned to a stage that is designated as an in pursuit stage.

Days Open This field displays the number of days you have been pursuing the project, from the date in Opened through today's date.

This field is only available if the project is assigned to a stage that is designated as an in pursuit stage.

Contents: Win/Loss Details

The Win/Loss Details fields display key data related to the stage of the project. You can click the arrow next to Win/Loss Details to hide or display the fields as a group.

Field Description
Won/Lost Date If the project is in a stage that is designated as a won, lost, or do not pursue stage, this field displays the date on which the project was won or lost or on which you decided not to pursue it further. Click next to Stage to select the date.

This field is not available if the project is assigned to a stage that is designated as an in pursuit stage.

Lost To If the project is in a stage that is designated as a lost stage, this field displays the competing firm that was awarded the contract. Click next to Stage to select the a firm.

This field is not available if the project is assigned to a stage that is designated as an in pursuit stage.

Won/Lost Reason If the project is in a stage that is designated as a won, lost, or do not pursue stage, this field displays the reason it was moved to that stage.

This field is not available if the project is assigned to a stage that is designated as an in pursuit stage.

Won/Lost Notes If the project is in a stage that is designated as a won, lost, or do not pursue stage, enter any additional information that is relevant to the project's stage. Click next to Stage to enter notes.

This field is not available if the project is assigned to a stage that is designated as an in pursuit stage.

Contents: Pursuit Details

The Pursuit Details fields are only available if the CRM module, the CRM Plus module, or, in the case of a few fields, the Resource Planning module is activated. If they are available, you can click the arrow next to Pursuit Details to hide or display the fields as a group.

Because the data under Pursuit Details only applies to the project as a whole, it does not display in the summary pane if you navigate to lower-level WBS elements.

Field Description
IQ Record If the project was created by importing an opportunity from GovWin IQ, this field displays that opportunity's GovWin IQ ID as a link. If you have login credentials for GovWin IQ, you can click the ID to open a new browser tab and display the complete opportunity information in GovWin IQ. (The project information remains available on the original browser tab.) If you are not already logged in to GovWin IQ, the GovWin log in page displays first.
SF Record If the project was created by importing data from a Salesforce opportunity, this field displays the Salesforce record number. You can also enter a the record number yourself to link the project to a Salesforce opportunity.

This field only displays if Salesforce integration is enabled.

Estimated Fee

Enter the total estimated revenue for the project, in the project currency, that your enterprise expects to earn if the project results in an awarded contract.

Probability Select the probability of winning the project. The probability is expressed as a percentage.

Depending on how Vantagepoint is set up, changing the probability of a project may also change whether or not the project should be included when calculating utilization and scheduled hours and percentages that are used for resource planning and resource management. That calculation status is displayed in Capacity Calculation in this summary pane.

Weighted Fee This field displays the estimated fee for the project in the project currency and weighted based on the probability: Estimated revenue x Probability percentage.
Owner Value Enter the total amount of the contract for the owner of the project, in the project currency.

If you are not the prime contractor, then the owner of the project is always the client, and this amount will be more than the amount in Estimated Fee. For example, for a corporate headquarters expansion with a contract amount of 10,000,000, your enterprise expects to earn a fee of 2,500,000 as a subcontractor. In that case, you enter 2,500,000 in Estimated Fee and 10,000,000 in Owner Value.

Source Select the source of the project (for example, Client Contacts or Marketing Campaign). If you created the by importing a GovWin IQ opportunity, GovWin IQ is automatically assigned as the source.

Contents: Project Details

The Project Details fields display key data related to the project plan and actual performance against the plan. You can click the arrow next to Project Details to hide or display the fields as a group.

Field Description
Plan Status This field displays the status of the project's plan:
  • Published: The plan has been published. No unpublished changes exist for the plan.
  • Not Published: The plan includes unpublished changes.
Plan Start - End This field displays the planned start and end dates for the currently displayed WBS element, as specified in the project plan. To change plan dates, go to the Plan form in the Projects hub or to Project View in Resource Management.
Show This field displays Billing or Cost to indicate whether the amounts you are viewing are at billing or at cost.

If you select Cost and Billing in Budget Type on the Plan Settings dialog box, both Billing and Cost are available, and you can switch between them. When you switch, the form's grids and charts update to reflect your selection.

If your enterprise uses multiple currencies, the currency in use is indicated next to the Summary Section option. The project cost currency is always used when viewing plans at cost. A configuration setting that your system administrator selects determines whether project cost currency or billing currency is used when you view plans at billing.

When you display cost amounts, some information may not display if your security role does not provide access rights to labor cost rates and amounts.

Contract This field displays the total contract amount, at billing or at cost: Labor + Expenses + Consultants.
JTD This field displays the value, at billing or at cost, of the charges to direct, indirect, and reimbursable labor, expense, and consultant accounts for all posted and unposted transactions and committed purchase orders through today.

Calculation: JTD = Posted and unposted labor, expenses, and consultants + committed purchase orders + other posted expense charges.

Your security role's access rights to labor cost rates and amounts determines whether or not you can view JTD labor at cost.

ETC Planned This field displays the total estimate-to-complete (ETC) amount, at billing or at cost, that is required from tomorrow through the end of the plan to complete the project. ETC amounts at the project level are the sum of ETC amounts calculated at the resource level.

ETC amounts for expenses and consultants are calculated as follows:

  • Expenses: If Planned expenses - JTD expenses is greater than 0, then ETC expenses = Planned expenses - JTD expenses. If Planned expenses - JTD expenses is less than or equal to 0, then ETC expenses = 0.
  • Consultants: If Planned consultants - JTD consultants is greater than 0, then ETC consultants = Planned consultants - JTD consultants. If Planned consultantsJTD consultants is less than or equal to 0, then ETC consultants = 0.

Expense ETC does not exist when the Expense planning page is hidden. Consultants ETC does not exist when either the Consultants planning page is hidden or it is enabled but you are viewing a promotional or overhead project.

Your security role's access rights to labor cost rates and amounts determines whether or not you can view labor ETC at cost.

EAC Planned

This field displays the total estimate-at-completion (EAC) amount, at billing or at cost, that is required from tomorrow forward through the end of the plan. The total EAC amount is the sum of the labor, expenses, and consultants JTD + ETC amounts from their respective tabs on the Plan form.

Your security role's access rights to labor cost rates and amounts determines whether or not you can view labor EAC at cost.

Labor Multipliers: Target

This multiplier is used as the basis for evaluation against the labor EAC multiplier. The multiplier represents how much revenue is anticipated for each labor cost dollar spent on a project. This field displays the multiplier in Target Multiplier on the Plan Settings dialog box.

Labor Multipliers: EAC Planned

The EAC planned labor cost amount is the cost value of the hours worked through today and the remaining planned hours. To determine the multiplier, this calculation is used: Direct labor amount from the Compensation tab on the Contract Management form divided by the EAC planned labor cost amount.
