Approve an Invoice in Interactive Billing

After a billing invoice is submitted, you can approve it on the Interactive Billing form.

This topic applies if you use an invoice approval process for a project's billing invoices.

To approve a submitted invoice, you must be specified as an approver in the approval workflow that is assigned to a project.

This topic covers instructions for approving invoices in Interactive Billing. Invoice approvals are more commonly completed by a project's designated approver in the Draft Invoice Approvals in the Projects hub or in Invoice Approvals in the Billing application. To approve an invoice in Interactive Billing:

  1. In the Navigation pane, select Billing > Interactive Billing.
  2. If the Billing Session Options dialog box displays, select options on the dialog box and click OK.
    Alternatively, click Billing Session Options on the actions bar of the Interactive Billing form, and complete the session options information.
  3. On the Interactive Billing form, select the project.
  4. To preview the draft invoice before you approve it, do either of the following:
    • Click the Draft Preview tab and review the invoice. This tab displays if you have Use Markup on Draft Invoices set to Yes in Settings > Billing > Options.
    • Click the Print action on the Interactive Billing form.
  5. Review the invoice information on the General tab and the other tabs that display transaction detail. Make any necessary changes if your role has security to do this.
  6. To review comments that were entered for each previous action taken in the approval process for the current invoice, such as when the invoice was submitted or rejected: On the General tab, click More in the Draft Invoice Comments field to open the Draft Invoice Comments dialog box.
  7. To enter comments as you review the invoice, complete one of the following:
    • On the General tab, click More in the Draft Invoice Comments field and then enter comments on the Draft Invoice Comments dialog box.
    • If you use markup on draft invoices: On the Draft Preview tab, use the annotation tools on the right side of the toolbar to make annotations and comments directly on the draft invoice PDF that displays on the tab.
  8. On the actions bar of the Interactive Billing form, click Approve > Approve to approve the invoice.
    If you do not have the necessary approval rights for the selected project, the Approve action does not display in the actions bar.
  9. On the Draft Invoice Comments dialog box, enter any comments related to the approval, and click Save to approve the invoice.
When you approve the invoice, an alert is automatically sent to the person responsible for the next step in the process, so that the invoice can be final accepted and sent to the client.
