Options Tab for List Reports

Use the Options tab of an individual list report to save sets of options for reuse. List report options control both the content and the formatting of a report.

The following descriptions summarize the different sections and types of fields that may be available in whole or in part on individual list reports. These sections will vary depending on the individual report that you select. The Options tab only displays for some reports when Multicurrency is enabled.

Refer to the individual report descriptions for detailed information about specific fields that are available.

Field Description
Reporting Amounts This section is only available if you have Multicurrency enabled. Use the Reporting Amounts options to specify how the report displays the currency and exchange rate information related to an employee's project.
Report Activity Options Use the Report Activity options to define how to report activity against the project. You can select to include a specific project level (project, phase, or task) that has transactions posted against it during a specific time frame.
Time Frame Options Use the Time Frame options to define the time period for the report. You can select from the current period, year-to-date, a date range, or a period range where you define start and end dates.
Report Detail Options This section is only available if you have Multicurrency enabled. Use the Report Detail options to define additional tax information for reports, including the transactions that display, the currency details, and if the cash-basis or accrual-basis version of the report is generated.

Reporting Amounts

This section is only available if you have Multicurrency enabled. Reporting amounts provide currency and exchange rate information about an employee's project.

Field Description
Report In

If you use multiple currencies, you have the option to have the report display information about currency and exchange rate information related to an employee's project.

Select one of the following currency options to use for amounts that appear on the report:

  • Billing Currency (in projects only): this field displays the billing currency of the project.
  • Project Currency (in project reports only): The currency specified in Custom Currency on the Overview tab of the Projects hub.
  • Project's Functional Currency: this option appears in some accounting reports
  • Presentation Currency: The currency that you select for the Presentation Currency option. When you select this option, you can then select both currency and date options.

    If you selected Presentation Currency in Report In, select the three-character ISO code for the currency. The list includes only the currencies that are enabled for your enterprise. All amounts on the report are presented in this currency. Vantagepoint calculates the exchanges between the project currency and the presentation currency based on the date that you specify in Exchange Rate as of.

Presentation Currency If you set Report in to Presentation Currency, select the three-character ISO code for the currency. The list includes only the currencies that are enabled for your enterprise. All amounts on the report are presented in this currency. Vantagepoint calculates the exchanges between the project currency and the presentation currency based on the date that you specify in Exchange Rate as of.
Exchange Rate as of If you set Report in to Presentation Currency, specify the date that Vantagepoint uses to calculate exchanges between the presentation currency that you select and the project currency. Vantagepoint determines the correct exchange rates in the daily exchange rate table based on this date.

Report Activity Options

Use these options to define how to report activity against the project. You can select to include a specific project level (project, phase, or task) that has transactions posted against it during a specific time frame.

Field Description
Report Records with Activity in the Following Area: Use these options to filter the report to only include projects, phases, or tasks that have transaction activity that occurred during the specified time frame.
  • Project: Select this option to report at the top level only. Project only does not require selection of an additional level.
  • Phase: Select this option to report at the second and top levels. Because phases roll up to the project, the project is automatically selected when you select Phase.
  • Task: Select this option to report at the third, second, and top levels. Because tasks roll up to phases, and phases roll up to the project, the phase and project are automatically selected when you select Task.

These options may be selected by default, depending on your user role. For example, for an Accounting role, all options are automatically selected but for a CRM-only role, no options are selected.

You use the Find Activity in this Time Frame option to define the time frame.

Define Activity Use these options to define the type of transactions that you want to include:
  • Labor, Expense, Cash Receipts, and Invoices
  • Labor and Expense Transactions Only
Find Activity in this Time Frame Select the time frame to use as the filter for the report's activity.
  • Current : This option includes the current accounting period.
  • Year-to-Date: This option includes the current fiscal year through the current accounting period.
  • Job-to-Date: This option includes the current job-to-date range.
  • Period Range: This is the period specified in the Period Range field.

Time Frame Options

Time Frame
Use this option to select the period for the report:
  • Current Period: This option includes the current accounting period.
  • Year-to-Date: This option includes the current fiscal year through the current accounting period.
  • Date Range: This option is available for some accounting reports. If you select this setting, the Starting and Ending fields are displayed.
  • Period Range: This is the period, typically a month, for which data is included.

    If you select this setting, the Starting and Ending fields are displayed so that you can select the starting and ending dates.

Report Detail Options

Field Description
Show Client Detail

Select the level of detail for the report from the following options:

  • Totals Only: The report displays only client totals for tax basis, tax amount, and tax received.
  • Tax Code Summary: For each client, the report displays tax code totals for tax basis, tax amount, and tax received.
  • All Transactions: For each client and tax code, the report displays the following sales transaction information: transaction date, transaction type, invoice number, fiscal period, posting sequence number, project number, task number, phase number, tax basis, tax amount, and tax received.
Report In

If you use multiple currencies, select the currency in which to display net amounts, tax basis amounts, and tax amounts on the report:

  • Transaction Currency: If you choose to use transaction currency, the report displays the amounts in the currency associated with the individual transactions. Use the Currency field to indicate if you want to include all currencies or only selected currencies. Vantagepoint then limits the transactions on the report to those with the specified transaction currencies.
  • Functional Currency: If you choose to use the functional currency, the report displays the amounts in the functional currency of the active company.
  • Tax Currency: (This option is only available if tax auditing is enabled for the active company.) If you choose to use the tax currency, the report displays the amounts in the currency specified for the tax code in the Tax Codes form. Normally, this is the currency in which the tax is reported and paid to the taxing authority.
Tax Code Select <all tax codes> if you want the report to include transactions for all tax codes. To select one or more tax codes, use the lookup.
Foreign Tax Registered Clients Only Select this check box if you only want to report on clients with a tax country that is different from your enterprise's tax country.

You specify client tax countries in the Firms hub.

You specify your enterprise's tax country on the Options tab of the Tax Codes form in Settings > Cash Management > Tax Codes.

Currency If you use multiple currencies and you set the Report in option to Transaction Currency, use this field to indicate whether you want to include all currencies or only selected currencies. Vantagepoint then limits the transactions on the report to those with the transaction currencies that you specify. Use the lookup to select the currencies.
Print Received Details

This option applies only to the accrual-basis version of the report. To select the Cash Basis check box on this tab to generate the cash-basis version of the report, you must clear this check box.

Select this check box to add the Tax Received column to the report, which displays the amount of tax received from clients, based on both invoices and cash receipts.

If you also select All Transactions in the Show Client Detail field on this tab, invoice transactions and their related cash receipt transactions are displayed in separate rows on the report.

On the report, client information for cash receipts is as follows:

  • Cash receipts for invoices are listed with the billing client of the posted invoice.
  • Cash receipts not related to an invoice for regular projects are listed with a project's current billing client entered on the Accounting tab in the Projects hub.
  • Cash receipts for overhead or promotional projects, are listed with a project's current primary client that is entered on the Overview tab in the Projects hub.
Cash Basis Select this option to generate the cash-basis version of the report.

To be able to generate the cash-basis version, you must select the Cash Basis Reporting option on the General Ledger Option form (Settings > General Ledger > Options).
