Insert Toolbar on the Draft Preview Tab in Draft Invoice Approvals

Use these tools to add signatures, predefined standard or custom comments, files, and callout boxes to a draft invoice.

This toolbar applies if you use the Invoice Approvals and Markup on Draft Invoices features. The toolbar opens when you click Insert on the main toolbar of the Draft Preview tab in Draft Invoice Approvals. This is one of several markup toolbars. Field Description

Use this icon to add a signature to the draft invoice. You can also add a comment that displays when someone hovers over the signature.

Click the icon and in the presets field click Add New Signature. On the signature dialog box, choose whether to draw, type, or upload an image for a signature and enter the signature. Click Create to save it. The signature is added to the drop-down list in the presets field for current and future use.

To add the signature to the draft invoice, click the signature in the presets field, and then click the desired location on the draft invoice. To change the opacity of the signature, click the signature on the draft invoice, and click the color palette icon below the signature.

To add a comment for the signature: Click the signature on the draft invoice, and enter a comment in the comment field that displays in the markup panel to the right of the draft invoice. Then click Save.

Use this icon to select from a list of standard or saved custom comments to add to the draft invoice. You can also add a comment that displays when someone hovers over the standard or custom comment.

To add a standard comment to the draft invoice: Click the icon, click in the presets field, and then select Standard. Click a standard comment in the list, such as "Approved," "Not Approved," "As Is," and so on. Then click the desired location on the draft invoice to place the comment.

To create a custom comment and add it to the draft invoice: Click the icon, click in the presets field, and then select Custom. Click Create New Stamp and then, on the Create New Stamp dialog box, enter the comment and select the text color and timestamp options for the comment. Click Create. Then click the desired location on the draft invoice to place the comment. The custom comment is saved and displays in the custom list in the presets field for future use.

To add a comment that displays when someone hovers over a standard or custom comment: Click the standard or custom comment on the draft invoice, and enter a comment in the comment field that displays in the markup panel to the right of the draft invoice. Click Save.

Use this icon to select an image file (PNG, JPEG, and so on) to display on the draft invoice. You can also add a comment that displays when someone hovers over the image.

Click the icon, and then click the desired location on the draft invoice. On the Open dialog box, select an image file from your computer or network drive.

Click the image on the draft invoice and then enter a comment for it in the comments field in the markup panel that displays to the right of the draft invoice. Then click Save.

Use this icon to attach a file to the draft invoice and display the paper clip icon where you attach the file. You can also add a comment that displays when someone hovers over the paper clip on the draft invoice.

Click the icon, and then click the desired location on the draft invoice to attach the file. On the Open dialog box, select a file from your computer or network drive.

Click the file on the draft invoice, and enter a comment for it in the comments field in the markup panel that displays to the right of the draft invoice. Then click Save.

Use this icon to point to something on the draft invoice and add a callout box with text in it.

Settings for the preset options that you can choose for this tool are:

  • Text color, opacity (transparency), and point size (thickness)
  • Stroke (border): color, opacity, and point size
  • Fill color and opacity

Click your mouse on the draft invoice where you want the arrow point, drag the line to where you want to locate the callout box, and double-click. Enter text in the callout box on the draft invoice.

Presets field

This field is located to the left of the Undo icon. It displays preset options for the specific tool that you selected on the Insert toolbar. Some tools have no preset options. Some tools may have preset options that you can change, such as text, stroke (border), and fill color and size options. Other tools have a drop-down list from which you select and create options.

Select or modify a preset to use before you start using the tool.

Click this icon to undo your most recent markup action.
After you use the undo icon to undo an action, you can click this icon to redo the action.
Click this icon to use your mouse to sweep over an annotation or comment to delete it from the draft invoice.
