Refresh Billing Extensions Utility
Use this utility to recalculate the billing amount of transactions (or "billing extensions") prior to generating reports.
Billing and cost rates for project reporting are defined at the time of posting. When you post a transaction, Vantagepoint looks at the applicable billing terms to determine billing rates and calculate billing extensions.
You can recalculate the billing extensions for all of your projects or for selected projects prior to generating project reports. Depending on how your enterprise has set up reports, recalculations can be based on:
- Project reporting default terms, or
- Billing terms (if terms have been updated since the transaction was originally entered).
Use Reporting Default Terms for All Projects
One option is to use reporting default terms instead of billing terms to refresh billing extensions for all projects. With this approach, reports are based on consistent information across all projects. Reports are not affected by billing terms, which often vary from project to project due to special circumstances that relate to bill collection, but not to reporting.
To use reporting default terms for all projects, select Enable Reporting at Billing Rates and Use Reporting Default Terms for All Projects on the Labor Options form in .
You should consider running the refresh billing extensions process if you change reporting default terms.
Use Individual Projects' Billing Terms
Another option is to use an individual project's billing terms to refresh its billing extensions. In this case, you should refresh billing extensions:
- When you create or change the billing terms for any project.
- If you see transactions on project reports that have a zero billing rate, indicating that billing terms are missing or inaccurate.
Multiple Currencies
If your company uses multiple currencies, Vantagepoint determines which currency to use (project currency or billing currency) to calculate billing extensions based on the setting for the Use Billing Currency not Project Currency option in .
