Contents of the Labor Cross Charge Form

Use the fields and options to view labor cross charge details, such as the posting date, the name of the person who ran the process, and processing status.

Header Fields

Field Description
Active Company If your firm uses multiple companies, the name of the active company displays in the upper-left corner of the form.

Actions Bar

Field Description
Run Click this button to process labor cross charges for the selected files. Vantagepoint confirms that there are no dormant organizations affected by the cross charge process. If there are, a confirmation message displays and you click OK to continue.
Schedule Click this button to open the Schedule dialog box and submit the labor cross charge job to a process servers queue. Vantagepoint confirms that there are no dormant organizations affected by the cross charge process. If there are, a confirmation message displays and you click OK to continue. Field Description
Range of Periods Use these fields to specify the accounting periods for the transaction files. From the drop-down list in the first field, select a starting accounting period. From the drop-down list in the second field, select an ending accounting period.
Replace existing unposted cross charge files of same file names This field displays if you use files to group transactions. Select this check box to replace processed files of the same filename that are not yet posted. Use this option after you review the Labor Cross Charge Detail Report and adjust data. Archived files are never deleted, even when this option is selected.

Journal Entry File Name Based on how you use Labor Cross Charge, Vantagepoint creates one or two data entry files and uses the name in this field as the filename for the journal entry data entry file. Use this field to edit the default filename, which is of the form XCharge[today's date]. A filename cannot be the same as that of any archived file.
Labor Adjustment File Name Based on how you use Labor Cross Charge, Vantagepoint creates one or two data entry files and uses the name in this field as the filename for the labor adjustment data entry batch file. Use this field to edit the default filename, which is of the form XCharge[today's date]. A filename cannot be the same as that of any archived file.
Diary This field displays only if you have set up a diary for the fiscal period or fiscal year in which you are entering transactions in the Diary Auto Numbering Options section of the Transaction Settings form in Settings > Accounting > Transactions.

Use this field to select a diary code for the current transaction or for the group of transactions, if you are processing a group of transactions. The diaries are used to generate diary reports that contain a set of sequentially numbered transactions that have been posted to the general ledger during the fiscal year or to specific fiscal periods. You can assign different diaries (that have different diary types) to different types of transactions.

The Diary drop-down list contains three columns. The first column displays the diary code. The second and third columns display the diary type for the diary code and the description of the diary type.

The drop-down list contains all the diaries that you set up on the Diary Auto Numbering Options section in Transactions Settings that either have the same fiscal period or fiscal year for which you are entering transactions or that have no fiscal period or year entered for them.

If you have multiple companies in Vantagepoint, the Diary field drop-down list includes only the diary codes that are set up for the current company. The list also includes IC - Intercompany Diary to capture intercompany transactions.

You cannot delete a transaction after it has been saved with a diary number. If a transaction is incorrect, you can enter zero amounts for the transaction or enter a reversing transaction.

Transaction Date Enter or select the transaction date for the journal entries that result from the labor cross charge process. This date is also used as the end date of the labor adjustment transaction file because that date is assigned to the summary general ledger posting. (This entry does not affect the dates associated with individual labor adjustments.)

This field is only available if Vantagepoint is configured to require that transaction dates fall within the current fiscal year or current fiscal period. The date that you specify must meet that requirement. If Vantagepoint is not configured to require transaction dates within the current fiscal year or period, the latest end date of the selected labor files is used as the transaction date.

Display Postings Already Processed Select this check box to display files with a status of processed.
Display Labor Adjustments and Billing Transfers Select this check box to display files for labor adjustment and billing transfer transaction types.

Labor Cross Charge Grid

Field Description
Type This column displays the type of transactions contained in the file. All files contain transactions of the type TS unless you select Show labor adjustments and transfers. Adjustment and transfer files display a BL type.
Post Sequence This column displays the file's posting sequence number, a unique number that is assigned by the system that identifies the posting.
Posted By This column displays the name of the employee who posted the file, unless the selected user ID is not mapped to an employee, in which case only the user ID displays.
Date and Time Posted The column displays the file's posting date and time stamp.
Comment This column displays a description of the file's contents.
Status This column indicates whether or not the file has been processed by Labor Cross Charge.
  • Unprocessed means that the file has been posted but has not been processed in the Labor Cross Charge application.
  • Processed means that the file has been processed in the Labor Cross Charge application.
Period This column displays the accounting period in which the file was posted.

Labor Cross Charge Grid Toolbar

Field Description
Select All Click this button to select all row entries in the grid.
Unselect All Click this button to unselect all row entries in the grid.
Reset Selected Files Click this button to reset selected transaction files to a status of Unprocessed after an interruption or other problem causes the labor cross charge process to stop before completing. Do not click this button if the labor cross charge process is currently processing the selected files.
Print Click this button to generate the Labor Cross Charge Detail Report. This report helps you determine whether or not any data must be adjusted before you run the labor cross charge process.
