Expense Progress Chart

Use the Expense Progress chart on the Expenses tab of the Plan form in the Projects hub to view how the project's overall expenses are trending by expense type. This chart compares the job-to-date (JTD) charges to the remaining work on the project, which gives you a percent complete for the expense.

The colored indicators for each expense type enable you to quickly analyze progress and to compare one expense type with another. In addition, you can hover over the indicators for each expense to see how the percentages were calculated.

The chart reflects data for the currently selected work breakdown structure (WBS) row in the Expenses planning grid. If you leave the Expenses Charts dialog box open, you can select other rows in the grid, and the chart updates automatically to reflect the currently selected row. The chart also updates automatically if you change data in the grid that affects the currently selected row.

You can hover over or tap a bar on the chart to see the underlying amounts and percentages.

The amounts on this chart display at billing or cost, depending on the option you select in the upper-right corner of the form. Whether both options are available depends on the budget type selected for the project plan. If both Billing and Cost options are available, you can switch between them, and the chart's information will update accordingly. Billing or Cost displays as part of the chart title, so you know at a glance which you are viewing.

If your firm uses multiple currencies, the currency in use is indicated next to the Billing or Cost option. The project cost currency is always used when viewing projects and plans at cost. A configuration setting that your system administrator selects determines whether project cost currency or billing currency is used when you view projects and plans at billing.

Expense Type

The expense types for which planning data exists display on the left side of the chart, with an associated progress bar for each.

Expense Progress Bars

The JTD and estimate-to-complete (ETC) bars display the percentage of the total planned amount that is complete through the current date, and what percentage of the planned amount remains for each expense type.

JTD % = (JTD/(ETC + JTD)) x 100

ETC % = (ETC/(ETC + JTD)) x 100

The JTD amount is the sum of all expense-related charges on posted transactions and committed purchase orders through the current date.

If planned expenses - JTD expenses is greater than 0, then ETC expenses = Planned expenses - JTD expenses. If Planned expenses - JTD expenses is less than or equal to 0, then ETC expenses = 0.

If the JTD amount is greater than the planned amount, the Plan Balance field displays in red to alert you that the project is trending to be over budget.

In some cases, some data may not exist for an expense:

  • If there are no expense types, the chart displays No expense data.
  • If there is JTD but no planned amount, the bar displays Nothing planned.
  • If there is no JTD or ETC but the expense type displays in the grid, the bar is gray and displays No JTD or planned amount.
