SF330 Connect a Proposal to a Project

Use the Proposal Log feature to associate a proposal record with a project record in the Projects hub. Because you may be required to submit more than one proposal for a single project, the proposal log is useful for keeping track of all the proposals that are associated with each project.

To connect a proposal to a project:

  1. In the Navigation pane in the desktop application, select Proposals > SF330.
  2. On the SF330 Proposals form, open the proposal that you want to log and click Create Proposal Log on the toolbar.
    When you create a Proposal Log entry, Vantagepoint uses the data that you enter on the Proposal Log dialog box to associate the proposal with the project record. Proposal logs show the proposal name, number, and organization of the connected proposal. If you enter data in the Project field, Vantagepoint adds the connected proposal to the Proposals tab of the Projects hub. This dialog box displays in the Projects hub and in Proposals.
  3. In Name on the Proposal Log dialog box, enter a name for the proposal log.
    If you open the dialog box from Proposals, this field shows the data from the Name field in the proposal that is currently open. You can change the name in this field, but you can not change the connection to the proposal.

    If you open the dialog box from the Projects hub, this field is blank and you need to enter the name of the proposal that you want to connect to the project record.

  4. In Number, enter a number for the proposal log.
    If you open the dialog box from Proposals, this field shows the data from the Number field in the current proposal. You can change the number in this field, but you can not change the connection to the proposal.

    If you open the dialog box from the Projects hub, this field is blank. Enter the number of the proposal that you want to connect to the project record.

  5. In Type, select the proposal type, such as Letter of Interest or Statement of Qualifications.
    Proposal types are set up in the Type Code Table, in Code Table Configuration.
  6. In Organization, specify the organization that is sending the proposal.
    If you open the dialog box from Proposals, this field shows the data from the Organization field in the proposal that is open now.

    If you open the dialog box from the Projects hub, this field is empty. Enter the name of the proposal that you want to connect to the project record.

  7. In Person Responsible, select the employee who is sending the proposal.
  8. In Project, select the project to which this proposal is connected.

    If you click Yes in response to the prompt Do you wish to create a proposal log for the Project? after you make an SF330 proposal from a project, this field shows the first 50 characters of the project name.

    If you open the dialog box from the Projects hub, this field shows the name of the current project record.

  9. In Source, specify how your company heard about the Request for Proposal.
    This proposal source can differ from the source of the project that is connected to this proposal. Proposal source options are set up in the Proposal Source Code Table in Code Table Configuration
  10. In Date Advertised, select the date of the notice for the Request for Proposal.
  11. In Submittal Date, select the date on which the proposal was sent or the date on which you plan to submit it.
  12. In Fee, specify the fee, if any, for sending the proposal.
  13. In Status, specify the status of the proposal, such as Won or Pending.
    Status options are set up in the Proposal Status Code Table in Code Table Configuration.
  14. In Due Date, specify the date by which the proposal must be sent.
  15. In Award Date, specify the date on which your firm is given the contract for the proposed work.
  16. If you open the dialog box from Proposals, the Linked Proposal field identifies the proposal whose data is currently displayed on the dialog box.
    If you open the dialog box from the Proposals tab of the Projects hub by using the Insert grid option, this field is inactive and blank.

    If you open the dialog box from the Edit grid option, this field shows the name of the proposal connected to the project, if applicable.

  17. In Notes, specify information about the source or location of cover art, charts, or designs related to the proposal.
    You can enter text in the field or use the Text Editor.
