This dialog box displays options for expense line receipts.

Field Description
Selected Expense When you click , the following information displays for the selected expense line in the Expense Report form:
  • Date
  • Description
  • Account
  • Amount
  • Currency
  • Project
  • Phase
  • Task

Associated Documents Grid

When you access the Expense Line Receipts dialog box by clicking or in the Receipts field, this grid displays the supporting documents for the specific expense line.

You can upload one ore more receipt files by either dragging and dropping the file onto the grid, or by clicking the +Select files for upload option. (You can only upload one file at a time when using Safari or Internet Explorer 9.) Vantagepoint supports the following file types: bmp, jpg, gif, png, tif, pdf, doc, docx, xls, and xlxs. The upload process creates a copy of each file in .PDF format and uploads the .PDF file into Vantagepoint

Before you upload an Excel file, you must format the file so that each Excel page has a defined print area. This ensures that the PDF conversion process does not insert page breaks or change the formatting so that columns are broken.

Field Description
Show All Documents Click Show All Documents to view all receipt files uploaded for the expense report.

Associated Documents Grid: Fields

Field Description
Filename This column displays the name of the receipt file.
Description This column displays the name of the file as the default description. You can enter a different description of the file.
Attach to This Line Select this check box to attach the selected receipt file to the expense line. You can only change this option while the expense report is editable. Clear this check box if you want to detach the receipt from the expense line.

Associated Documents Grid: Row Options

These are the icons that display at the end of a row in the grid when you hover over a row.

Field Description
This option is displayed in the row when you select a file in the grid. Click this option to view the file.
This option is displayed in the row when you select a file in the grid. Click this option to display a menu with the following options:
  • View PDF: View the attached receipt in PDF.
  • Delete Receipt: Delete the file from the expense report and from the database.

Field Description
+ Select files for upload

Click this item to open a Microsoft Windows browse/open file dialog box and upload one or more receipt files for the expense report line. Vantagepoint converts all uploaded documents, regardless of their original format, to PDF format. The uploaded documents are displayed in the Associated Documents grid.
