Actions Bar of the Vendor Payments Form

Use these actions as you process a vendor payment run in the Vendor Payments application.

The actions that are available vary, based on which page of the Vendor Payments form you have open (the step of the process you are performing). The description for each possible action is provided below and identifies the page from which it is available.

Commonly Used Actions

Field Description
Process Payments

Click this action on the Select Vouchers page of the Vendor Payments form after you finish selecting all the AP vouchers to pay for a payment run and you are ready to process the run.

Before you click Process Payments, you may want to do any of the following:

  • Select Vendors with Payments Only on the toolbar of the Vendor Balances grid on the Select Vouchers page to review the vouchers that are selected to pay.
  • Click Other Actions > Bank Cash Requirements and/or Other Actions > Cash Requirements Report on the Select Vouchers page, to view cash requirements for the payment run.

When you click Process Payments, you receive a warning dialog box that lets you know that payment processing makes permanent changes to your database. At this point, you should have already reviewed the vouchers, settings, and cash requirements before proceeding. When you click Proceed on the warning dialog box, the Printing and Numbering page displays on the Vendor Payments form. On this page, you print and assign numbers to the payments, download files for SEPA or ClieOp EFTs, print and/or email remittance advices, print file copies of the payments, and post the payment run to your general ledger.

Post Payments

Click this action on the Printing and Numbering page of the Vendor Payments form after you print and assign numbers for the payments, download files for SEPA or ClieOp EFTs, print and/or email remittances, and print file copies of the payments. This action posts the payments to the general ledger.

After you post the payment file, you cannot reprint checks.

If there are ACH (NACHA file format) EFT payments in the run, the Electronic Files page opens when the posting is complete. On this page, enter information such as the date when the payments are valid for bank use. You also specify settings to format the file that contains the payment information for the bank.

Close Payment Run Click this action on the Electronic Files page to close the page and return to the New Payment Run page of the Vendor Payments form.
Bank Settings Click this action on the Electronic Files page of the Vendor Payments form to open the Bank Settings application (in Settings > Cash Management > Banks), in a separate browser window. In Banks Settings you update electronic file settings to use for the vendor payment run for the bank.

Other Actions

Click Other Actions and then click one of the following actions:

Field Description
Bank Cash Requirements Click this action on the Select Vendors page or the Printing and Numbering page. This opens the Bank Cash Requirements dialog box, which shows you the amount of cash needed to pay the vouchers in the payment run. If more than one bank is being used to pay the vouchers in the run, you see the cash amounts required from each bank.
Cash Requirements Report Click this action on the Select Vendors page or the Printing and Numbering page to run, schedule, or email the Cash Requirements report for this vendor payment run. On the Cash Requirements dialog box, select options for the report content, such as grouping, level of detail, and layout of the report. The report lists each invoice and AP voucher amount to be paid in the payment run for each vendor, as well as a final total amount. For more information, see Cash Requirements Report.
Payment Margin Click this action on the Printing and Numbering page to open the Payment Margin dialog box and adjust the margins allowed by your printer for printing vendor payment checks. You may need to adjust the top and left margins so that the text for the checks aligns properly on your check stock. You can also specify where you want the check memo text to display on a check if you use the United States or Canada check template.
Schedule

Click this action on the Printing and Numbering page to open the Process Server Schedule dialog box and schedule the posting of the payment run to occur at a later time.

If you are scheduling the posting of an ACH (NACHA) payment: After it finishes posting, you must finish creating the electronic file for it. To do this, return to Vendor Payments and select the ACH run that is now posted. On the Electronic File page of the Vendor Payments form, complete the information to create the file to send to your bank.

Delete Run

Click this action on the Select Vouchers page or the Printing and Numbering page to delete the payment run that you have open on the Vendor Payments form. On the Delete Run dialog box that asks you if you want to delete the selected run, click Yes.

When you delete a run, it is permanently deleted in Vantagepoint. The vouchers become available again to pay in Vendor Payments. You will see a deleted run in Transaction Center > Posting Review with Canceled in the Status column.
