Actions Bar for the Timesheet Form

Use the Actions bar to submit timesheets, as well as to copy timesheets, request absences, acknowledge transfers, and print timesheet reports.

Actions Bar

Use these buttons and menu options to perform any of the following tasks:

Field Description
Save Select this option to save your timesheet entries.
Submit After you complete a timesheet, select this option to submit the timesheet for approval and processing. Depending on how your system administrator defines settings, you may be allowed to submit a timesheet one time, or you may be allowed to edit a timesheet that you already submitted and then resubmit it. On the Confirm Electronic Signature dialog box, enter your signature and password and click OK to submit the timesheet. After you submit, the timesheet status changes to Submitted.
Copy Previous Timesheet Select this option to copy all rows from another timesheet into the currently displayed timesheet. On the Copy a Timesheet dialog box, use the drop-down menu to select the timesheet you want to copy into the current timesheet. Only the project/phase/task/labor code/billing category combinations are copied; the hours or units are not. If the Labor Code column is not available or your security role does not have rights to change the labor code, the labor code for copied rows is set to the default. If the Labor Category column is not available, the labor category for copied rows is set to the default.
Copy from Plan Select this option to populate timesheets with data from project plans for which the employee has planned hours in the timesheet period. On the Plan Assignments dialog box, select the assignments that you want to copy to the timesheet. A row is added to the timesheet for each selected assignment, and that row is populated with the project, phase, task, and labor code from the resource assignment. For plan assignments that do not include a labor code, the employee's default labor code is used.
Request New Absence Select this option to enter and submit an absence request. This option is available if at least one absence accrual is checked in the Use Absence Requests column on the grid in Settings > Accounting > Absence Accrual.
Previous Absence Requests Select this option to display the Previous Requested Absence dialog box, where you can update comments, see workflow progress information, or delete requests that are no longer needed. This option is available if at least one absence accrual is checked in the Use Absence Requests column on the Absence Accruals grid Settings > Accounting > Absence Accrual.
Acknowledge Transfers Select this option to open the Billing Transfer Audit dialog box, where you can review and acknowledge billing labor transfers.

You must have access to Billing for this option to display. If you allow labor transfers of timesheet hours from one project, phase, task, or labor code to another to occur in Interactive Billing or Draft Invoice Approvals, you can conduct a labor transfer in Billing without requiring approval from the employee who originally entered the time. Affected employees (or their supervisor /administrator) receive an alert through the Notification Center. When they click the alert, it opens the Timesheet form. On the form, they select Acknowledge Transfers from the Actions drop-down menu.

Floor Check If you are responsible for making sure that employee time entry is completed on time, you can do a floor check to review the status of time entry for your employees for a timesheet period or for a specific day. See the Complete Floor Checks online help topic for more information.

Print

Field Description
Click this icon to control whether or not a timesheet report prints automatically when you submit a timesheet. On the Timesheet Settings dialog box, select from the following options:
  • Detailed Timesheet: Print the timesheet entries for a single employee and labor period. The report includes all information entered on the employee's timesheet.
  • Summarized Timesheet: Print a summarized view of timesheet entries for a single employee and labor period. This report is a more compact version of the Detailed Timesheet report, without work breakdown structure names or timesheet comments.
  • Do Not Print Report: Prevent a timesheet report from printing automatically when you submit a timesheet.
  • Page Break by Project: Print timesheet data for each project on a separate page. This setting remains in effect until you select it again to clear it.
  • Include Revision Audit Report: Include revision audit information at the end of the Detailed Timesheet report or Summarized Timesheet report. This option is only available if revision auditing is enabled for the employee. This setting remains in effect until you select it again to clear it.
