Tasks (Key Conversions)

Use the Key Conversion utility for tasks to combine tasks, change task numbers of task records, or move tasks to another phase or project.

You can combine two tasks within the same project or across different projects.

When you combine task numbers, Vantagepoint:
  • Consolidates budgets and data in the project financials table.
  • Deletes the billing terms and invoice data (if this is the last task for a project).
  • Deletes the billing terms and invoice data when you convert a phase to a task on another project.
  • Combines plan data for the tasks.
  • Combines revenue forecast data for the tasks.

Prerequisite: Back up your Vantagepoint database.

Before you combine tasks, consider the following when Use Revenue Forecasts is selected as the allocation method for any associated projects on the Estimated Fee tab of the Contract Management form. (This option is only available if you have the Resource Planning module.)
  • If you are using multiple currencies and the currency associated with the Currency to Store selection differs between two projects in which you are combining tasks, the tasks cannot be combined.
  • If both projects use revenue forecasts, Vantagepoint uses the combined revenue forecast data and, if necessary, expands the revenue forecast dates to encompass the dates from both the Existing Task and the New Task. In addition, the revenue forecast dates are expanded for the parent phase and project level.
  • If the project associated with Existing Task uses revenue forecasts and the project associated with New Task does not, Vantagepoint eliminates the revenue forecast data from the existing task when the tasks are combined.
  • If the project associated with Existing Task does not use revenue forecasts and the project associated with New Task does, Vantagepoint uses the revenue forecast data from the new task when the tasks are combined.

Combine Tasks

You can combine tasks from projects in the Combine Records tab of the Tasks form. You can select a task from an existing project and transfer all task data to another task in another existing project or phase. Combining task records updates applicable applications in Vantagepoint.

Move Tasks to Another Phase on the Same Project or Another Project

You can move tasks to another phase on the same project or to another project in the Change Number tab.

Change the Task Number of a Task Record and Keep It on the Same Project

You can use the Change Number tab in the Tasks form to change the task number of a task record, but keep it on the existing project and phase. This change also updates applicable applications in Vantagepoint.
