Ajera Synchronization with CRM

When you have both Ajera and the CRM module or CRM Plus module, you can synchronize contact, firm, and project information that is entered in Vantagepoint with Ajera. This eliminates the need to enter data twice, which can reduce data entry errors.

Depending on your version of Ajera, the synchronization is one-way or two-way. In Ajera versions earlier than 8.09, the synchronization process is one-way. Contact, firm, and project information is imported from the corresponding Vantagepoint hubs into Ajera.

In Ajera version 8.09 and later, synchronization is bidirectional. When the synchronization process runs, any new or changed information in Ajera is updated in Vantagepoint and vice versa.:

You select the Enable Ajera Synchronization option on the Ajera form (Utilities > Integrations > Ajera) to enable Vantagepoint to synchronize with Ajera. When you enable synchronization, the following occurs:

  • In the Firms hub:
    • On the Overview tab, a Sync to Ajera checkbox displays. Select this option to synchronize a client's Vantagepoint information with Ajera.
    • On the Contacts tab, Ajera Sync check boxes display. You can select any or all contact records to synchronize with Ajera.
  • In the Projects hub:
    • On the Overview tab of the Projects form, a Sync to Ajera check box displays. Select this option to synchronize a project's Vantagepoint information with Ajera.
    • An Ajera Project Template field displays. Select this option if you are syncing the project to Ajera and have a particular template to be used when creating the project in Ajera. The template controls prefill the work breakdown structure (WBS) used on the project.
    • On the Team tab of the Projects form, Ajera Sync check boxes display for contacts. You can select a maximum of twenty contact records to synchronize with Ajera.
    • If you are using Ajera version 8.09 or later, accounting information on the following tabs in the Vantagepoint Projects form is synchronized:
      • Ajera Totals
      • Accounting
      • Dates & Costs
      • Team (only the employee Name, Role, and Hours fields, which is based on timesheet entry. Date displays date of first time entry.)
  • In the Employees hub:
    • If you are using Ajera version 8.09 or later, employee records are synchronized.

In Ajera in Company > Preferences > Integration, you turn on the integration to Vantagepoint on the CRM Integration tab. You can set up synchronization to occur automatically at regularly scheduled times. You can also run the synchronization process manually at any time using the Synchronize with CRM menu option.
