Assign Timesheet Administration Rights to an Employee

Use the Time & Expense tab in the Employees hub to assign an employee's access rights to timesheets.

To assign timesheet administration rights to an employee:

  1. In the Navigation pane, select .
  2. On the Employees form, select an employee.
  3. Click the Time & Expense tab and use the Timesheet Group field to select a timesheet group for the employee.
    You create timesheet groups in Settings > Time > Time Groups.
    If you use multiple companies, the following applies:
    • The data that you enter on this tab applies to the company that the current record is associated with.
    • The tabs and fields that display are based on the company that the current record is associated with.
    • The values that are available in the individual fields and lookups are based on the company that the record is associated with. For example, the timesheet groups that are available in the Timesheet Group field are those groups for the company to which this employee record belongs.
  4. Use the Timesheet Administration Level field on the Time & Expense tab to assign employee access rights to timesheets. Options are:
    OptionDescription
    Staff The employee can access only their own timesheets.
    Group The employee can access timesheets for all employees in a particular timesheet group. When you select this option, a group grid displays below the Time Administration Level field where you can select the groups that the employee can access.
    Company The employee can access timesheets for employees in all timesheet groups in a particular company (if you have multiple companies in Vantagepoint). Employees can open and print, and possibly edit, timesheets belonging to the employees in that company. When you associate an employee with Company access rights to additional companies, the new records inherit the employee's access rights. Also, if you change an employee's access rights from another setting to Company, all associated company records automatically update to apply Company access rights as well.
    System The employee can access timesheets for all groups and employees. You must designate at least one employee in your firm to have system-level access.
  5. If you set the Timesheet Administration Level option to Company or System, select the Edit check box to allow an employee with company-level or system-level access to edit all timesheets for all timesheet groups in a particular company.
  6. If you set the Timesheet Administration Level field to Group, complete the fields in the Timesheet Group grid.
    Use this grid to assign an employee to more than one group, with appropriate editing privileges.

    Company This option displays when you use multiple companies. Select the company whose timesheet groups you want to assign to this employee.
    Group Select the timesheet groups whose timesheets this employee can access. If you use multiple companies, only groups for the company that this employee record belongs to display in the drop-down list.
    Editing Select this check box to allow the employee to open and edit timesheets for all employees in the specified timesheet group.
    Changes are saved automatically.
