Transfer Transaction Detail Within a Project

In Interactive Billing, you can transfer (reclassify) labor and expense transaction detail within the same project.

You transfer the detail within the same project, phase, or task instead of transferring it to a different project. You can transfer labor codes, categories, and hours for labor transactions and general ledger account and cost amounts for expense transactions. For example, you can change the labor transaction’s labor code from billable to non-billable, or if the labor was simply charged to the wrong labor code, you can select the correct labor code.

To transfer transaction detail within a project:

  1. In the Navigation pane, select Billing > Interactive Billing.
  2. On the Billing Session Options dialog box, select the options for this session and click OK.
    Options that you select on this dialog box determine the transactions that display for transfer in the next steps.
  3. On the Interactive Billing form, open the project that has transaction detail to transfer.
  4. On the Labor tab or Expense tab, in the transactions grid, select the row for the transaction that you want to transfer.
    • Select only one transaction.
    • Options that you select on the Billing Session Options dialog box in step 2 determine the transactions that display in the grid. To make changes to these settings, click the Billing Session Options action on the Actions bar of the Interactive Billing form.
  5. On the grid's actions bar, click Transfer.
    If you select a transaction that was created as an insert in Interactive Billing, you receive a message informing you that you are transferring an insert. Transferred inserts do not get posted, so they do not affect project reports or your general ledger. The transfer affects only Billing.
  6. On the Billing Labor Transfer dialog box or Billing Expense Transfer dialog box, click the Within Current [WBS Level] check box.
    • The dialog box contains fields that are prefilled with the information from the transaction that you are transferring.
    • If you selected transaction detail that was at the WBS 1 level (a project with no other WBS levels), you are transferring the transaction detail in the same project.
    • If you selected transaction detail that was at the WBS 2 level (phase), you are transferring the transaction detail from one phase to another phase in the same project.
    • If you selected transaction detail that was at the WBS 3 level (task), you are transferring the transaction detail from one task to another task in the same phase for the project.
  7. On the dialog box, enter the amounts, quantities, and other information to transfer.
    Examples: For a labor transfer, change the labor code in the Labor Code field to transfer the transaction detail to a different labor code. For an expense transfer, change the general ledger account in the Account field to transfer the amount that you enter in the Amount field to a different account.
  8. Click the Transfer button on the dialog box to complete the transfer.
    You are returned to the Interactive Billing form.
The transactions are posted to the project and the general ledger. Postings are logged to unique posting sequence numbers for each type of transfer (labor, expense) performed during the session. The postings display on the Posting logs and on the Posting Review report in the Transaction Center.
