Dependents/Beneficiaries

Use the Dependents/Beneficiaries screen to add, edit, and inactivate/activate your dependents and beneficiaries. You can access the Dependent/Beneficiaries screen from the Menu, or through the Life Events/New Hires or Benefits Enrollment processes.  

When do I use the Dependents/Beneficiaries screen?

You can add a new dependent/beneficiary, edit all information for a dependent/beneficiary, or inactivate an existing dependent/beneficiary.

Active/Inactive Dependents/Beneficiaries

The Dependents/Beneficiaries table displays either Active or Inactive information. The system will display Active records when the screen initially opens, with "Active" appearing as the first word of the table heading.  If there are no active records in the system, the inactive records will display, with "Inactive" appearing as the first word of the table heading.

If there are no active or inactive records, the system will display the following message: “No dependent & beneficiaries are on record."

After the table initially displays, you can select the View Active/View Inactive button to toggle between active and inactive records.  You cannot directly make changes to the Active/Inactive tables; however, selecting the appropriate button will launch the Add screen, Edit screen, or Inactivate screen.

Checkbox

You can select a row for editing by selecting the checkbox to the left of the row.

Name

If you are viewing active records, select the hyperlink in the Name field to launch the Edit Dependents/Beneficiaries screen (just as if you had selected the Edit Dependents/Beneficiaries button above the table).

Relationship

This field displays the relationship of the dependent/beneficiary to you.

SSN/Government ID

This field displays the dependent/beneficiary's social security number or government ID.

Gender

This field displays the gender of the dependent/beneficiary.

Date of Birth/Agreement

This field displays the date of birth (or the date of a legal agreement/document, such as an adoption agreement) of the dependent/beneficiary.

Type

This field displays "Dependent," "Beneficiary," or "Dependent & Beneficiary," according to the status of the dependent/beneficiary.

Inactivate/Activate

When you are in the Active Dependents/Beneficiaries table, the Inactivate button displays.  If you select it, and dependent or beneficiary information exists for the dependent/beneficiary, the Inactivate Dependents/Beneficiaries Benefits screen will display, in which you can confirm or cancel your decision to clear the dependents/beneficiary's coverage.

When you are in the Inactive Dependent/Beneficiaries table, the Activate button displays. If you select it, you can assign a benefit plan to the dependent/beneficiary in the Life Events/New Hires or Open Enrollment process.

The Inactivate/Activate button does not display in Menu mode.

Add Dependent/Beneficiaries

This button displays when you access this screen from Life Events/New Hires or Benefits Enrollment processes.  (The Add button does not appear when you access this screen from the Menu.) Select this button to launch the Add Dependents/Beneficiaries screen, where you can enter new information.

Edit Dependent/Beneficiaries

This button displays only when you are viewing active records.  Select this button to launch the Edit Dependents/Beneficiaries screen.

View Inactive/Active

When you are in the Active table ("Active" displays in the table heading), the View Inactive button displays above the table. Select it to view the Inactive table.

When you are in the Inactive table ("Inactive" displays in the table heading), the View Active button displays above the table. Select it to view the Active table.
