The header area of the expense authorization contains information that was automatically generated when you created the expense authorization, as well as information entered on the Purpose tab during the creation process. The header area only displays after the expense authorization is created. Learn more about creating an expense authorization.
If more than one expense authorization is open, the navigation menu displays above the toolbar. Navigate between records by choosing from the following:
Click to move to the first record.
Click to move to the next record.
Click to move the previous record.
Click to move to the last record.
Click icons in the Expense Authorization toolbar to perform actions such as creating, approving, or rejecting an expense report. Learn more about the Expense Authorization toolbar.
This field displays the expense authorization ID number. The system assigns the number, which is incremental, when you fill out the general wizard portion of the expense authorization. This is a non-editable field.
This field displays the revision number of the expense authorization. When the employee saves an expense authorization, the revision number is zero. Each time a change is made after the expense authorization is submitted, this number increases by one. If you click in this field, you will be taken to the Revision Schedule that shows the details of all changes. This is a non-editable field.
This non-editable field displays the status of the expense authorization. The valid values are:
Draft — The expense authorization is in process. It has not yet been submitted.
Submitted — The expense authorization was signed, but no approvals have taken place.
Under Review — The expense authorization was signed, and it requires more than one approval, of which at least one has been completed.
Approved — The expense authorization was signed, and all required approvals have been completed.
Rejected — The expense authorization was rejected by a supervisor.
Processed — The expense authorization was exported to the financial system.
Voided — The expense authorization was voided by an employee or a supervisor.
This field displays the type of expense authorization. This is a non-editable field.
This field displays the name and ID of the employee for whom the expense authorization was entered. This is a non-editable field.
This field displays the expense class of the employee and is derived from Expense Class field in the Employee History. This is a non-editable field.
This non-editable field displays the organization to which the employee is assigned.
This field displays the primary charge for the expense authorization. If more than one charge exists, a See Schedule hyperlink displays, which links to the Default Charge Schedule in the Supporting Schedules section of the Expense Authorization.
This field displays the date on which the expense authorization was created. This is a non-editable field.
This field displays the total dollar amount available for this expense authorization. It displays in the employee’s pay currency, for example, USD. This is a non-editable field.
This field displays the expense report that is associated with this expense authorization. You can view the expense report by clicking the hyperlink. You will then be taken to the expense report. While you're viewing the expense report, you can click the Expense Authorization ID hyperlink to return to the Expense Authorization.
If a cash advance request exists, this field displays the status of the advance as a hyperlink. Status options that may display include:
N/A – The employee did not request a cash advance on this expense authorization.
Draft – A cash advance has been requested on this expense authorization; however, the expense authorization is in process and has not yet been submitted.
Submitted – A cash advance has been requested on this expense authorization and the expense authorization has been signed, but no approvals have taken place.
Under Review – A cash advance has been requested on this expense authorization, the expense authorization has been signed, and it requires more than one approval, of which at least one has been completed.
Approved – A cash advance has been requested on this expense authorization, the expense authorization has been signed, and all cash advance required approvals have been completed.
Rejected – A cash advance has been requested on this expense authorization, but the request has been rejected by a supervisor.
Processed - A cash advance has been requested on this expense authorization and both the expense authorization and the cash advance request have been exported to the financial system.
Voided - A cash advance has been requested on this expense authorization but the expense authorization has been voided by an employee or a supervisor.
If more than once advance request exists, a See Schedule link displays which links to the Supporting Schedules section of the Expense Authorization.
