Detail Schedules

The Detail Schedules display detail information regarding many of the fields on the expense authorization. To access these schedules, click on the appropriate hyperlink and you will be redirected to the bottom of the expense authorization, where you can view the details. To return to the expense authorization summary, select the Top hyperlink next to the Detail Schedule.

Cash Advance Schedule

The Cash Advance Schedule displays any cash advances that have been requested for this expense authorization. Supervisors can use the schedule to approve or reject the cash advance request.

The cash advance approval is separate from the expense authorization approval. If the cash advance request is rejected, the expense authorization can still be approved.

Charge Allocation Schedule

The Charge Allocation Schedule displays the breakout of the expenses by charge allocation.  Project managers can use the schedule to approve or reject expenses charged against their job. If you click on the Expense ID, you will be brought to the expense where you can view it in further detail.

Authorization Status Schedule

The Authorization Status Schedule displays all of the tasks that must be completed in order for the expense authorization to be exported. If a task has been completed, it displays the name of the person that completed the task and the date/time that it was done. The Can Be Completed By field will be blank. If the task has not been completed, Completed By and Completion Date/Time will be blank and the Can Be Completed By column will display the names of the individuals that can complete the task.

Revision Schedule

The Revision Schedule displays all of the changes that have been made to this expense authorization since it was submitted. Before it is signed, it will contain only a line showing the initial entry.

Authorization Blanket Schedule

The Authorization Blanket Schedule displays the expense reports, authorized dollar limit, and remaining balance associated with this expense authorization.

Under Blanket Status, Open indicates that the authorization is still available for use with expense reports, and Closed indicates that it's unavailable. To change the status, select either Open or Closed and then click Update.

An open authorization that has exceeded the remaining dollar amount, including any established tolerance limit, can still be selected on an expense report, but the report is routed to the appropriate supervisor for approval.
