Universal Document Control Bulk Publishing
UDC Bulk Publish enables you to efficiently publish unmanaged documents into PIM, utilizing automated folder matching logic and rating suggestions for optimal document pool selection Learn how Universal Document Control (UDC) uses folder matching criteria and past publishing patterns to recommend document pools for bulk publishing.
Universal Document Control (UDC) uses folder matching to suggest document pools for bulk publishing, helping to streamline document organization. Each suggested pool receives a match rating from 1 to 5 based on specific criteria, indicating the likelihood of an accurate match for each folder.
Folder Matching Ratings
The match ratings are based on the following criteria:
| Rating | Logic |
|---|---|
| 5 | The document pool has been used for the given folder name five or more times. |
| 4 | The document pool has been used for the folder name two to four times. |
| 3 | The document pool name matches the folder name exactly. |
| 2 | The document pool name starts with the folder name. |
| 1 | The document pool name contains the folder name. |
Child folders lacking their own suggestions will inherit the rating from their parent folders.
Publishing Documents
When you click Publish Selected, it queues the folders for processing. The system will publish unmanaged documents as managed documents, adhering to the same validation and reporting processes as existing Unmanaged Publish operations.
Upon completion, published documents will display details, including assigned document pools, entities, and standard and custom user-defined fields such as Document Date and Document Status. A URL file will also be retained in the original UDC folder, linking to the properties page of the latest document version in PIM.
Security
To perform this task, you require the Udc.BulkPublish entity function role. Additionally, ensure that the network folders you want to publish from are mapped to projects in PIM. The Bulk Publish feature operates under the permissions of the service account, bypassing individual file permission checks. This ensures that all unmanaged documents are eligible for publishing.
Performance
The Bulk Publish process runs on a scheduled task, typically every 5 minutes. It can process up to 1,000 documents for a single folder. The Bulk Publish uses a queue model to prevent overload on the search service.
Tracking Progress
You can monitor the publish progress through the Publish Status button within the relevant document bandset for the project. This feature provides real-time updates on the status of the publishing process, including a count of remaining documents.
