Local File Management in Smart View

The Local File Management feature in Smart View allows you to manage your local files. You can publish files to the DMS, delete local files, check files in, and create documents from templates.

Note: Local File Management was previously called Working Files, and it provides the same functionality as in previous releases. This feature has been renamed in preparation for the upcoming Local File Management functionality, which will provide advanced local file management across all modern browsers.

If you are looking for help on the Working Files dashpart in the Personal Zone, see Working Files Dashpart Overview.

Local File Management works differently in Internet Explorer than it does in other modern browsers.

Local File Management in Internet Explorer

Internet Explorer synchronizes with the working files folder on your local PC, and mirrors those files within Local File Management. The folder contains files that you have not yet published to the DMS, and files that you have checked out to edit.

When you want to publish a new document, you can add the file to your working files folder on your PC, and then use the Local File Management window to publish it.

The following options are available in Local File Management through Internet Explorer:

To do this Click this
Open a file to view or edit it The file name
Publish a single file from your working files folder to the DMS
Check a file back in to the DMS
Undo a file check-out
Remove an unpublished file from your working files folder
Delete an unpublished file created from a template from your working files folder
Remove multiple selected files Remove Files
Publish multiple selected files Publish Files
Create a new document from a template Create Document
Add a file to your working files folder Add Files From Folder

Local File Management in Other Browsers

Due to the security limitations of other browsers, such as Chrome and Safari, files are not synchronized with your working files folder on your local PC. When you view the Local File Management window on any other browser except for Internet Explorer, it displays only files that you have currently checked out to edit.

Since PIM has no control over where your files are stored, you must always manually select files that you want to publish and check in. When you publish or check files in, the files are not automatically deleted from your local folder as they are with Internet Explorer. To prevent duplicate copies of files, you should always delete local copies of any files that you publish and check in to the DMS.

The following options are available in Local File Management through other browsers:

To do this Click this
Publish one or more files from your PC to the DMS Publish New Files
Check a file back in to the DMS
Undo a file check-out
Delete an unpublished file
Create a new document from a template Create Document
Publish a file larger than 2GB from your PC Publish A Large File
