Key Convert Customer Format Form

Use the Key Convert Customer Format form to change the format of customer numbers.

Display the Key Convert Customers Format Form

You display the form in Utilities.

To display the form:

From the GovWin Capture Management Navigation menu, click Utilities > Key Formats > Customers.

Contents of the Key Convert Customers Format Form

Specify whether or not to use leading zeros, set the customer number length, and specify the delimiter symbol and position.

Field Description
Display Leading Zeros Select this option if you want GovWin Capture Management to add leading zeros to the number when you enter an incomplete number in any Customer field in the database. For example, if you enter HGA-ENG and your customer number length is ten characters (including the delimiter), GovWin Capture Management adds leading zeros to the customer number (for example, 000HGA-ENG).

This option controls the display of the customer numbers on forms and reports, as well as whether or not the customer number must be a fixed length.

Do not select this option if you want GovWin Capture Management to leave the customer number as entered. In this case, you can enter up to 12 alphanumeric characters for the customer number when entering new customer numbers in Customer Info Center.

If you have already established a customer number length with delimiters, then later decide to remove the leading zeros, the delimiter will no longer be aligned properly. Delimiters are stored directly in the database tables (with the customer number value). When leading zeros are no longer used, the customer number length is no longer a fixed value and the delimiter position is no longer valid. For example, customer number 000HGA-ENG becomes HGA-ENG, but customer number 000000-CVS becomes -CVS.

Customer Length Enter the customer number length, between 1 and 20 numbers. The current length of the customer number appears for reference.

If you decide to decrease the length of the number, first ensure that duplicate customer numbers will not be created during the conversion (the conversion will test for this).

Add/Remove from Left/Right If you want to add or remove characters from a customer number, you can use this feature to determine whether the characters are added to or removed from the left or right side of the number.

For example, if you increase the customer number length from 5 to 7, you can then use this feature to add those two numbers to the left of the number: 12345 becomes 0012345.

Conversely, if you decrease the customer number length from 7 to 5, you can then use this feature to remove those two numbers to the right of the number: 1234567 becomes 12345.

Remember that the delimiter is counted as part of the customer number length.

Customer Delimiter Enter the desired delimiter for your customer numbers. The current delimiter for your customer number appears for reference.

A delimiter must be a special character, such as a period (.) or a comma (,); not 0 to 9, A to Z, or |.

Delimiters are counted as part of the customer number length. For example, if the customer number length is 6, the customer delimiter is a period (.), and the customer delimiter position is 4, the customer number appears as 456.78.

Customer Delimiter Position This value is required if you entered a delimiter in the Customer Delimiter field. Enter the desired delimiter position for your customer numbers. The position must be 1 less than the length of the field.

The current delimiter position for your customer number appears for reference.

Sample Value This field displays the resulting format of the customer number.
