Contents of the View Purchase Order Status Screen

Use the fields and options to configure the View Purchase Order Status screen.

PO Status Inquiry

Field Description
Vendor

Enter, or click to select, the vendor ID to limit the inquiry of purchase orders to be viewed. The corresponding name of the vendor displays on the field on the right.

The vendor must not be flagged as a payroll vendor. If the vendor has an approval code of Not Approved or Pending, or if its PO Status is On Hold, Costpoint displays a warning.

Buyer

Enter, or click to select, the buyer ID to limit the inquiry of purchase orders to be viewed. The corresponding name of the buyer displays on the field on the right.

PO Enter, or click to select, the purchase order ID to be viewed. The associated release number displays on the field on the right.
Rlse Enter, or click to select, the release number of the purchase orders to be viewed.
Requisition Enter, or click to select, the requisition ID to limit the inquiry of purchase orders to be viewed.
Project

Enter, or click to select, the project ID (or beginning project ID) to limit the inquiry to a particular project or range of projects. This field is optional. Use the options in the Project Selection Criteria field to further define the inquiry criteria based on the project ID.

Note: The field label Project may be different from what has been defined on the Manage Standard Label Customizations screen.
Project Selection Criteria

Select one option from the drop-down list to further define the purchase orders that will be included in your inquiry. The values are:

  • Exact Match: Select this option to find only those POs that contain an exact match of the entered project ID.
  • Begins With: Select this option to find all POs that begin with the project ID.

Select

Use the fields in this group box to filter the types of purchase orders that appear in the table window.

Field Description
PO Status Type

Select the purchase order status check box or combination of PO status you need to view. The system-defined purchase order status are:

  • Pending
  • Open
  • System Closed
  • Closed
  • Void
PO Type

Select the purchase order type check box or combination of types you need to review. The system-defined purchase order types are:

  • Purchase Order
  • Blanket Order
  • Release Order
  • Subcontract Retainage PO
  • GFM/GFE Order
  • Subcontractor Agreement
  • Subcontractor Agreement Blanket
  • Subcontractor Agreement Release
Total PO Amt This field displays the sum of all PO lines' Total PO Amount in functional currency.

Table Window

Field Description
PO This column displays the purchase order ID.
Rlse This column displays the purchase order release number.
Change Order This column displays the PO change order number.
Status

This column displays the status code for the purchase order. The valid codes are as follows:

  • Pending
  • Open
  • Closed
  • Void
  • System Closed
Type

This column displays the purchase order type. The valid types are as follows:

  • Purchase Order
  • Blanket Order
  • Release Order
  • Subcontract Retainage PO
  • GFM/GFE Order
  • Subcontractor Agreement
  • Subcontractor Agreement Blanket
  • Subcontractor Agreement Release
Vendor This column displays the vendor ID on the purchase order.
Vendor Name This column displays the name of the vendor.
Buyer This column displays the buyer ID on the purchase order.
Buyer Name This column displays the name of the buyer.
Order Date This column displays the order date of the purchase order.
Trans Currency This column displays the transaction currency for the purchase order. The invoice for these materials will be in this transaction currency.
Trans PO Total Amt This column displays the amount of the purchase order in the transaction currency. The invoice for these materials will be in this transaction currency.
Func PO Total Amt This column displays the amount of the purchase order in your company's functional currency. Functional currency is the currency used to initialize Costpoint and is the currency in which your financial statements are prepared.
Address Line 1 This column displays the vendor's first line of address.
Address Line 2 This column displays the vendor's second line of address.
Address Line 3 This column displays the vendor's third line of address.
City This column displays the vendor's city.
State This column displays the vendor's state.
Postal Code This column displays the vendor's postal code.
Country This column displays the vendor's country.
Contact Last This column displays the last name of the vendor contact.
Contact First This column displays the first name of the vendor contact.
Address Code This column displays the address code used to generate the purchase order.
Sales Order This column displays the sales order number.
Phone This column displays the vendor's telephone number.
Fax This column displays the vendor's facsimile number.
Change Date This column displays the date of the change order.
Blanket Amt This column displays the total blanket amount limit.
Unreleased Amt This column displays the unreleased amount for the blanket order.
Terms This column displays the vendor terms for the purchase order.
FOB This column displays the Free On Board (FOB) information indicating the point at which ownership of the purchase order items changes.
Acknowledgment Date This column displays the date of the vendor acknowledgment.
Released to Vendor This column displays Y (Yes) if the purchase order has been released to the vendor or N (No) if it has not been released.
Released to Vendor Date This column displays the date when the PO is released to the vendor.
Confirmation This column displays Y (Yes) if the purchase order is a confirmation of a verbal order, or N (No) if it is not.
PO Printed This column displays Y (Yes) if this purchase order has been printed, or N (No) if it has not.
GSA This column displays Y (Yes) if this is a General Services Administration (GSA) order, or N (No) if it is not.
Size

This column displays one of the following to indicate the size and classification of the vendor:

  • Large
  • Small
  • Non-Profit
  • Foreign/Other
Woman Owned This check box indicates that the vendor is classified as a woman-owned business when the PO line was created.
Disadvantaged (Include Minority-Owned) This check box indicates that the vendor is classified as a disadvantaged or minority-owned business when the PO line was created.
HUBZone This check box indicates that the vendor is classified as a HUB Zone vendor when the PO line was created.
Historical Black Colleges and Universities/Minority Owned This check box indicates that the vendor is classified as a historical black college and university/minority-owned institution vendor when the PO line was created.
Veteran-Owned This check box indicates that the vendor is classified as a veteran-owned vendor when the PO line was created.
Service Disabled Veteran-Owned This check box indicates that the vendor is classified as a service disabled veteran-owned vendor when the PO line was created.
Alaskan Native Corporation (ANC) and Indian Tribes This check box indicates that the vendor is classified as an Alaskan Native Corporation and Indian Tribes when the PO line was created.
Certification Date This column displays the date when the vendor classification certification was received.
Period of Perf Starting This column displays the purchase order's period of performance start date.
Period of Perf Ending This column displays the purchase order's period of performance end date.
Header Notes This column displays the text notes associated with the purchase order.
Header Expediting Notes This column displays expediting notes associated with the purchase order.
US Citizenship Reqd This column displays whether or not the resource associated with the PO has to be a citizen of the USA.
ITAR Authorization Reqd This column displays whether or not the resource associated with the PO has to be authorized for ITAR (International Traffic in Arms Regulations) restricted items.
Security Clearance System ID This column displays the security clearance that the resource associated with the PO needs to have.
Security Clearance Description This column displays the description of the security clearance that the resource associated with the PO needs to have.
Security Clearance Level This column displays the level of the security clearance that the resource associated with the PO needs to have.
SCI This column displays whether the security clearance that the resource associated with the PO has to be cleared for Sensitive Compartmented Information (SCI).
SAP This column displays the whether the security clearance that the resource associated with the PO has to be cleared for Special Access Programs (SAP).
Issuing Agency This column displays the agency that issued the security clearance.
