Autocreate Asset Master Records

Use this procedure to autocreate asset master records.

To autocreate asset master records:

  1. If you are licensed for Purchasing or Receiving:
    • Select the preferred asset/item numbering configuration from the Configure Default Autocreation Asset Numbering screen in Fixed Assets.
    • Select the preferred defaults on the Configure Autocreation Settings screen in Fixed Assets.
  2. On the Manage Autocreation Accounts screen in Fixed Assets, enter the Account/Organization/Project/Reference 1/Reference 2 combinations and/or wild card combinations to create Asset Master records.
  3. Assign the Receipt or Posting timing code to each row to signify whether information should be captured at time of Receipt or at time of A/P Posting.
  4. Optional: Enter additional Receiving information (such as tag number, serial number, and so on) as desired on the Fixed Assets subtask on the Manage Purchase Order Receipts and Fixed Assets subtask on the Manage Quality Control Inspections screens provided the conditions apply.
    • There must be an exact match between the Account-Organization-Project-Reference 1-Reference 2 combination from the Purchase Order line and an asset Account-Organization-Project-Reference 1-Reference 2 combination (or wildcard) set up in the Manage Autocreation Accounts screen in Fixed Assets.
    • The Timing Code set up for the asset Account-Organization-Project-Reference 1-Reference 2 combination (or wildcard) in the Manage Autocreation Accounts screen must be R (Receipt).
    • The Account-Organization-Project-Reference 1-Reference 2 combination from the Purchase Order cannot be designated as an Inventory account and cannot be assigned an Inventory Abbreviation.
    • The Purchase Order line must be allocated 100% to an asset Account-Organization-Project-Reference 1-Reference 2 combination (or wildcard).
  5. Run the preliminary autocreation process from the Create Autocreation Transactions screen in Fixed Assets.
    During this process, the system collects the appropriate information from Purchasing, Receiving, and/or Accounts Payable tables and displays the information on the Manage Autocreation Transactions table window for your review.
  6. Make all necessary modifications and enter additional information as desired on the Manage Autocreation Transactions screen. Select or de-select records for processing.
  7. Review the information in summary or detail format at any time by printing the Print Autocreation Transactions Edit Report in Fixed Assets.
  8. Execute the final autocreation process from the Create Asset Master Records screen.
    This step moves selected and validated rows from the Manage Autocreation Transactions screen and creates the individual Asset Master records. A list of successfully processed transactions automatically prints, along with a list of transactions rejected because of error conditions.
