Complete Activity Subtask

Use this subtask to complete a workflow activity.

To complete the activity, you must click Complete. The date and time the activity is completed is then audited. The completed activity is removed from the Monitor Activities and Messages screen. If this activity completes the prerequisites for other activities in the workflow model, those activities are routed to the Monitor Activities and Messages screen (and email, if available). If you defined roles in the workflow model to be notified upon completion of this activity, a message is routed to the message inboxes (or email, if available).

You must set up the following screens before you can use this subtask::

  • Manage Workflow Case Labels
  • Manage Workflow Role Filters
  • Manage Workflow Roles
  • Manage Workflow Models

    You must also start a workflow case using the Manage Workflow Cases screen. You can complete an activity through a Costpoint function only if you are working within Costpoint Workflow. This subtask is active in a Costpoint function if you start the function via your Monitor Activities and Messages or Monitor Workflow Status screens; otherwise, it is inactive.

Warning: You must be certain that all work for a particular activity has been finished before using the this subtask. After the activity is completed, it is removed from your Monitor Activities and Messages screen and appears with a red check in the Monitor Workflow Status screen. Also, when the activity is completed from a Costpoint function, the Complete option in the workflow menu becomes inactive. If you inadvertently complete the activity, any additional work for the activity are then done outside the workflow.

Field Description
Workflow

This field displays the name of the currently selected workflow in the Activities table window of the Monitor Activities and Messages screen.

Activity

This field displays the activity within this Workflow.

Case

This field displays a unique number used to identify an instance of this workflow.

Complete Activity

Use this block to complete this Activity.

Field Description
Option

Use this field to enter, or click to select, the option you want to view for this activity. It is active if the activity has options; otherwise, it is inactive. If you select a specific option in the Monitor Workflow Status screen, only that option is available.

Completion Notes

Use the field in this group box to enter any additional information regarding special occurrences while completing the activity.

Field Description
Complete

Click this button to complete the activity and save the data. You must also consider the following:

  • If the activity is the only incomplete activity of the workflow, the workflow as a whole is considered complete. The workflow status is changed from in-progress to complete and the date/time it was completed on is stored.
  • If there are other incomplete activities for the workflow case and these activities are not required, you are prompted to mark the workflow case complete.
  • If you complete the workflow case, no other activities can be routed, started, or completed.
