Use this subtask to view work assignments for subcontractor management requisitions.
These fields display values from the main screen.
This field displays the work assignment ID number, containing up to 30 alphanumeric characters, and is the unique identifier for this work assignment. Costpoint automatically assigns the ID if the Enable Auto-Assign check box is selected on the Configure Subcontractor Management Settings screen.
This field displays the work assignment description.
This field displays the work assignment approval code. Approval codes are set up in Manage Work Assignment Approval Codes and are used to control the approval process of work assignments at either the work assignment or charge level.
This field is required if the Require Work Assignment Approval check box is selected on the Configure Subcontractor Management Settings screen.
This field displays the approval status (Pending, Blank, Hold, Approved, Closed, or Rejected) of the work assignment. If approval is not required as set up in Configure Subcontractor Management Settings, this field defaults to Approved and is disabled. All charge and vendor employee lines for this work assignment will be set to Approved as well.
If approval is required, the default is Pending or the field is blank (if approval is at the charge line level). Only users who are linked to the approval code assigned to this work assignment can edit this field. If the user changes the status to Approved, all charge and vendor employee lines will have a status of Approved, but this can be modified.
If the work assignment approval code requires approval at the charge line level, the status of the work assignment will remain blank until all of the charge lines have a status of Approved. If the work assignment is set to Approved but the user changes one of the charge lines to Pending, the work assignment will be set to Pending. The work assignment approval status will not change if the user sets a charge line to Rejected, Closed, or Hold.
This field displays the work assignment closed date and is populated by Costpoint when the work assignment approval status is set to Closed.
This field displays the name of the approver and defaults from the Approver field on the Approve Work Assignments screen.
PO ID
This field displays the purchase order (PO) number. The PO must be of types Subcontractor Agreement or Subcontractor Agreement Release as set up on the Manage Purchase Orders screen.
Release
This field displays the release number for the PO.
Change Order
This field displays the last change order number for the PO. This defaults from the Change Order field on the Manage Purchase Orders screen.
Currency
This field displays the transaction currency code for the PO as set up in the Trans Currency field on the Manage Purchase Orders screen.
Vendor
This field displays the vendor ID as set up in the Vendor field on the Header tab of Manage Purchase Orders. The vendor name displays to the right of this field.
Customer
By default, this displays the customer ID associated to the project set up on the Accounting Defaults tab of Manage Purchase Orders.
Work Assignment Start Date
This field displays the work assignment start date.
Work Assignment End Date
This field displays the work assignment end date.
Hours
This field displays the total number of hours for all charge lines.
Trans Amount
This field displays the total transactional amount for all charge lines.
Func Amount
This field displays the total functional amount for all charge lines.
Allow Unauthorized Charges
This check box displays whether or not unauthorized vendor employees (subcontractor resources) not linked to the work assignment to charge in Time & Expense is allowed.
Require Charge Comments
This check box displays whether or not to require charge comments in Time & Expense.
Allow Overtime
This check box displays whether or not overtime charges in Time & Expense is allowed.
Allow Entered Hours Over Charge Line/Vendor Employee Hours
This check box displays whether or not the hours entered by vendor employees (subcontractor resources) in Time & Expense against the work assignment is validated.
Allow Charges Over Charge Line/Vendor Employee Amount
This check box displays whether or not the amount entered by vendor employees (subcontractor resources) in Time & Expense against the work assignment is validated.
Allow Charges Outside Work Assignment Period of Performance
This check box displays whether or not the timesheet charges entered by vendor employees (subcontractor resources) in Time & Expense are within the start and end dates within the work assignment is validated. When the subcontractor invoice is created and the check box is not selected, any charges outside the work assignment start and end dates will be reclassified to an unallowable account, specified on the work assignment charge line. If selected, no validation will take place.
Require Subcontractor Approval On Charges
This check box displays whether or not to require subcontractor approval on the timesheet in Time & Expense.
This option displays whether or not to allow the charge line quantity/amount to exceed the PO line quantity/amount.
None - This option indicates that the charge line quantity/amount cannot exceed the PO line.
Warning - This option indicates that Costpoint displays a warning message when the quantity/amount on all charge lines exceeds the PO line quantity/amount.
Error - This option indicates that Costpoint displays an error message when the quantity/amount on all charge lines exceeds the PO line quantity/amount.
This option displays whether or not validation applies on vendor employee security status against the PO. The option selected in this group box default from the selection made in Configure Subcontractor Management Settings.
None - This option indicates that Costpoint validates the vendor employee security status against the PO.
Warning - This option indicates that Costpoint validates the vendor employee security status against the PO and gives a warning on failed validation.
Error - This option indicates that Costpoint validates the vendor employee security status against the PO and gives an error message on failed validation.
This field displays the allowable vendor employee labor account. This account defaults into the charge lines and is used to hold the amount in excess or outside the period of performance.
Include System Closed PO Lines
This check box displays whether or not to include system-closed PO lines when loading work assignment charges.
This field displays the notes indicating the reason for rejecting the work assignment.
This field displays the notes on the work assignment.
