Use these screens to process requisitions.
You must process requisitions in order to finalize them and prepare them for purchase order generation. If you do not use these screens to process requisitions, you cannot create purchase orders.
The Process Purchase Requisitions screens (Materials»Transactions»Purchase Requisitions) should be accessed by authorized users only, such as buyers or purchasing managers.
These screens and the Enter Purchase Requisitions screens (Materials»Transactions»Purchase Requisitions) function similarly; both allow you to enter requisitions. However, the Process Purchase Requisitions screens allow you to both enter and (ultimately) process requisitions so they can be generated into purchase orders.
Although you can add, edit and/or view requisitions in this application, the Process Purchase Requisitions screens (Materials»Transactions»Purchase Requisitions) function primarily as processing tools.
Requisitions that are not processed in this application will maintain their current status, thus preventing purchase order generation.
It is a good practice to allow only buyers and purchasing managers to access these screens because, commonly, issues arise and requisition adjustments have to be made that require the authority of specific personnel within your company. For example, if the requisition indicates that "50" business telephones are needed and the preferred vendor has a pre-packaged set of "100" available (and the cost per unit for "100" is significantly less than the cost per unit for "50"), someone must determine how to proceed with the purchase. If no other vendors can provide this product, authorized personnel must decide if whether is in the best interest of the company to order 50 additional business telephones. This decision may be a critical one if the requested date (the date the requisitioner needs the item) is fast approaching.
In addition, once the requisition has been processed, it can be generated into a purchase order; therefore, only designated users should have the authority to determine when/if the requisition should be processed. If you select the Ready for PO checkbox in the Assign PO subtask, a flag is set internally, indicating that the purchase order can be created. If you do not select this checkbox, the requisition will maintain a "wait" state. The purchase order will not be created until you select this checkbox, which finalizes requisition processing.
The Process Purchase Requisitions screens (Materials»Transactions»Purchase Requisitions) display five tabs, one block, several group boxes and subtasks, and a table window. You can use these fields as follows:
Use the Header tab to enter the requisitioner, buyer, and date information.
Use the Accounting Defaults tab to enter the project, account, organization, and reference information.
Use the Other Information tab to enter data in the Delivery Defaults and PO Defaults group boxes. You also can enter data in the Tax Status, Over Budget Validation, Export, and GSA fields.
Use the Notes tab to enter internal information. The data you enter here will not print on the purchase order. This tab serves as a vehicle for the requisitioner to provide additional information to the buyer.
Use the Assign PO Defaults tab to allow the next system-generated purchase order number to be assigned, upon processing.
Use the Hdr Text, Hdr Approvals, Ref Quotes, Assign PO, Totals, Exchange Rates, Accounts, Line Charges, Line Text, RFQs, Line Approvals, and the Currency Line subtasks to add, edit, and/or view additional requisition information.
Use the fields in the Table Window to enter quantity, costs, vendor, manufacturing, and shipment information.
You can use these screens to process requisitions.
You must initialize the Employee User Flow (People»Maintain»Employee), Buyers (Materials»Configure»Purchasing), Project User Flow (Projects»Maintain»Project), Accounts (Accounting»Maintain»Accounts), Organization Elements (Accounting»Maintain»Organizations), Procurement Types (Materials»Configure»Purchasing), and the G/L Settings screens before you add records in this application.
Enter up to 10 alphanumeric characters to identify the requisition.
The requisition ID is a unique alphanumeric combination used to identify the requisition. This alphanumeric combination is used throughout Costpoint.
You can assign requisition numbers in one of two ways, depending on which requisition numbering method you selected in the Requisition Settings screen (Administration»Configure»Materials):
If you selected the System radio button in the Requisition Numbering Method group box of the Requisition Settings screen (Administration»Configure»Materials), the system automatically numbers the requisitions, incrementing the value in the Last System Req Number field in the Requisition Settings screen (Administration»Configure»Materials) by one.
After you have entered all data and saved the record, the system automatically assigns the next available number and displays it in the Requisition ID field.
You can manually enter a unique requisition number, even if you have established system numbering.
If you selected the Manual radio button of the Requisition Numbering Method group box in the Requisition Settings screen (Administration»Configure»Materials), you must enter a requisition number before you can save the new record. In this case, the system does not store the last number used; therefore, you can access existing requisitions by selecting the Query icon to retrieve records with an "Approved" status.
If you know the requisition ID, you can click the Query icon to retrieve a specific record.
This non-editable field tracks the number of times the requisition status shifts from "R" (Rejected) to "P" (Pending).
When a requisition or requisition line has been rejected, the requisitioner can edit and save the requisition, thereby resetting the requisition status to "P" (Pending) and incrementing the revision number by one.
Enter, or use Lookup to select, the approval process for this requisition. The Lookup data originates from the Purchase Requisition Approval Processes screen (Materials»Configure»Purchase Requisitions).
Approval process codes represent the manner in which a requisition must be approved before you can generate a purchase order.
Once you have submitted a requisition line for approval, you cannot change this code unless the requisition has been rejected.
Use the drop-down box to select "Pending," "In-Approval," "Void," "Approved," or "Rejected."
Only requisitions with a status of "P" (Pending) or "R" (Rejected) can be modified in this screen.
P - Pending. This status indicates that the requisition is being modified by the requisitioner. This status persists until the requisitioner submits the requisition for approval or freezes it from further changes, if no approvals are required.
I - In-Approval. This status indicates that the requisition has been submitted for approval and is in the process of being reviewed. You cannot modify requisitions with a status of "In-Approval" on this screen.
V - Void. This status indicates that the requisition has been voided and no further processing will occur.
A - Approved. This status indicates that the requisition has been approved and can be processed into a purchase order in the Process Purchase Requisitions screen (Materials»Transactions»Purchase Requisitions). You cannot modify requisitions with this status on this screen.
R- Rejected. This status indicates that the requisition has been rejected during the approval process (or by a buyer in the Process Purchase Requisitions screen (Materials»Transactions»Purchase Requisitions)) and can be corrected and resubmitted for approval.
Select this checkbox to submit the requisition for approval. If this checkbox remains cleared, you can access the record to modify or update its contents without concern that the requisition has been or will be submitted for approval.
If, for example, you are in the process of entering a requisition but are interrupted, and this checkbox is not selected, you can access the requisition again and finish adding the record information later.
This non-editable field displays the transaction currency code that you specified for the requisition in the Exchange Rates subtask.
All dollar amounts noted on this screen are calculated or processed in terms of this currency.

Select this checkbox to combine this requisition with other requisitions having the same vendor and buyer. By selecting this checkbox, this data can be associated with one purchase order.
If you selected the Combine Requisitions checkbox in the Defaults block of the Requisition Settings screen (Administration»Configure»Materials), the Combine with Other Requisitions checkbox is already selected.
As long as the checkbox remains selected, a "Duplicate" message will display on any reprints of the requisition. The first printout displays without this message.
If this checkbox is selected, the requisition has been printed.
A blank checkbox indicates that the requisition has not been printed; therefore, no "Duplicate" message will be generated when you print the requisition.
Enter, or use Lookup to select, up to two alphanumeric characters to identify the procurement type code. The Lookup data originates from the Procurement Types screen (Materials»Configure»Purchasing).
