Quick Project Setup Template

What can I do in this screen?

Use this screen to create templates that control the data entry required when you enter a new project in the Quick Project Setup screen (Projects\ Maintain\Project) or the Generate Quick Project WBS screen (Projects\Maintain\Project).

Quick project templates let you have different data entry requirements for different projects and user roles. Templates allow you to have various users, such as project managers and accounting staff, each entering only project setup information that is appropriate for them to enter.   

When you create a quick project setup template, you specify the following for the Quick Project Setup screen:

Using quick project setup templates is optional. To use templates, select the Use Quick Project Templates checkbox in the Project Settings screen (Administration\Configure\Projects).

After you create project setup templates, when you enter a new project in the Quick Project Setup screen or the Generate Quick Project WBS screen, you start by selecting a project setup template ID.

At any time, you can make changes to a quick project setup template. These changes take effect the next time you select the template ID in Quick Project Setup or Generate Quick Project WBS.

When should I use this screen?

Use this screen only if you selected the Use Quick Project Templates checkbox in the Project Settings screen (Administration\Configure\Projects).

If you use quick project setup templates, you must set up templates in the Quick Project Setup Template screen before you use Quick Project Setup or Generate Quick Project WBS.

What is the difference between entering a project in Quick Project Setup and entering a project in Project User Workflow?

New projects are normally set up in Project User Flow (Projects\Maintain\Project).

However, if you want more flexibility and control of the project setup data entry (such as which fields are required, which users can make entries in certain fields, and to include a project approval step) you may want to use Quick Project Setup. Entering a project in Quick Project Setup is optional.

Projects that are set up through Quick Project Setup are approved and then imported into the permanent Costpoint project database to become available in the Project User Flow screen. In Project User Flow, you continue to enter other project information, such as deliverables, government contract information, and more.

You import projects from Quick Project Setup to Project User Flow in the Import Quick Project Information screen (Projects\Maintain\Project).

After importing, you must run the Update Contract and Funded Values and Update Period of Performance toolkits in the Miscellaneous Toolkits screen. These toolkits update contract and funding values and period of performance dates at each project level in the Project Master.

Identification

Template ID *

Enter up to 15 alphanumeric characters to identify the quick project setup template. IDs for each template must be unique. After you save the record, you cannot edit this field.

Description *

Enter up to 25 alphanumeric characters to describe the quick project setup template ID.

* A red asterisk denotes a required field.

Table Information

Changes to this screen update the QPROJ_TEMPLATE (Quick Project Setup Template) table.
