Line 9 Detail

What can I do in this subtask?

Use this subtask's "drill-down" feature to review and edit the individual transactions that compose the billing lines.

You can edit the billing amount, write-off amount, hold amount, write-off description, and hold reason description. After you edit the billing lines, incorporate the changes into the bill by using the Recalculate pushbutton. This process brings the changes into the main screen and changes the affected bill lines.

Warning: Exercise caution when changing the Billing Amount field in this screen, because no audit trail exists for changes made to it. If you change the Billing Amount field, the inception-to-date costs will not match the billed costs.  The best method of correcting billing amounts is to use the original source journal.

 

Note: You cannot edit the Write Off Amount and Hold Amount fields of subcontractor delivery invoices included on Line 9. Because these transactions are obtained from the Subcontractor Progress Payments screen (Projects\Configure\Billing History), it is not possible to distinguish a partial transaction. If a subcontractor transaction for Line 9 needs to be placed "On Hold," you can accomplish this by changing the Accepted field in the Subcontractor Progress Payments screen. If a subcontractor invoice in the Subcontractor Progress Payments screen does not contain a "Y" in the Accepted field, it will be excluded from billing calculations.

Use this subtask after you have calculated the bill but have not printed or posted it.

Field Descriptions

Billable Line Costs

Use the fields in this group box to view the current, previous, and ITD amounts for Line 9 of Government Form 1443.

Current

This non-editable field displays the current billable amount from the Open Billing Detail (Projects\Maintain\Billing) or Subcontractor Progress Payments (Projects\Configure\Billing History) screens.

Previous

This non-editable field displays the ITD amount from the previous bill for this bill line. The Posted Progress Billing Detail screen is the source for this field.

ITD

This non-editable field is the sum of the Current and Previous billable lines.

Table Window

Use these fields to review the detail of the transactions that make up the total on Line 9.  You can also enter write-off and hold amounts.  

Transaction Project

This non-editable field displays the project to which the transaction was posted.

Account

This non-editable field displays the account to which the transaction was posted.

Organization

This non-editable field displays the organization to which the transaction was posted.

Ref 1

This non-editable field displays the reference number 1 to which the transaction was posted, if applicable.

Ref 2

This non-editable field displays the reference number 2 to which the transaction was posted, if applicable.

Fiscal Year

This non-editable field displays the fiscal year to which the transaction was posted.

Period

This non-editable field displays the period to which the transaction was posted.

Subperiod

This non-editable field displays the subperiod to which the transaction was posted.

Type

This non-editable field displays the type of transaction that was posted. The type will either be "B" (Burden transactions), "COM" (Cost of Money transactions), or "C" (Cost transactions).

Pool

This non-editable field displays the pool number that was used to burden the transaction. It is applicable only to transaction lines with "B" and "COM" types.

Transaction Amount

This non-editable field displays the amount of the transaction that was posted.

Billing Amount

This field displays the amount of the transaction that was billed. You can edit this field.

Write Off Amount

This field displays costs that were previously placed on hold and now have been determined to be unbillable at any time. This field can be edited.

Changing this field will automatically change the Billing Amount field.  If you recalculate this bill the write-off amount will be reset.  If you post this bill with an amount in the Write Off field, the amount will be permanently written off.

Hold Amount

This field displays the portion of the Transaction Amount that was placed on hold and excluded from the bill. This field can be edited.

Changing this field automatically changes the Billing Amount field.  You will need to manually reset the "on hold" amount if you wish to take an amount off of hold.  Posting or recalculating the bill will not affect the hold status.

Partial Transaction Previously Billed

This non-editable field displays the billing history amount for previously billed transactions.

ID Type

This non-editable field displays the ID type, either "Employee,"  "Vendor,"  or "Vendor Employee" for labor transactions.

ID

This non-editable field displays the employee, vendor ID, vendor employee ID for those transactions with an ID Type.

Name

This non-editable field displays the full employee or vendor name for the selected ID.

PLC

This non-editable field displays the Project Labor Category (PLC) of the transaction.

PLC Description

This non-editable field displays the PLC description.

Voucher No.

This non-editable field displays the voucher number, if the transaction was entered in Enter A/P Vouchers or Enter PO Vouchers screens (Accounting\Transactions\Vendors).

A/P Invoice ID

This non-editable field will display the invoice number, if the transaction was entered the Enter A/P Vouchers or Enter PO Vouchers screens (Accounting\Transactions\Vendors).

Timesheet Date

This non-editable field displays the timesheet date of the transaction.

Comments

Enter comments concerning the transaction in this field.

Journal Code

This non-editable field displays the journal that was used to enter and post the transaction.

Source

This non-editable field displays the source of the transaction, either "System" or "User."

Write Off Description

Use this field to enter or review a reason for any amounts that have been written off.

Hold Reason Description

Use this field to enter a reason for any amounts that have been placed on hold.

GLC

This non-editable field displays the General Labor Category (GLC) assigned to the employee on this transaction.

GLC Description

This non-editable field displays the description of the GLC assigned to the employee on this transaction.

Cash Rcpt No.

This non-editable field displays the cash receipt number if the transaction was posted in the Enter Cash Receipts screen (Accounting\Transactions\Cash Receipts).

Description

This non-editable field displays the description of the transaction as it was entered.

Recalculate

If you edit the Billing Amount, Write Off Amount, or Hold Amount fields, select the Recalculate pushbutton before leaving this subtask. This action changes the bill line and incorporates your edits into the bill by changing the lines that have been affected.
