A/R Aging Report

What can I do in this screen?

Use this screen to print a report that lists all outstanding billed receivables by project or customer and ages the receivable amounts based on the due date or invoice date.

The Billing and Cash Receipts Journals update the information this screen.  

Although multiple users can access this screen, only one specified user ID can run a report at a time.

You should retain the final Accounts Receivable Aging Report for each accounting period in support of the general ledger receivables balance.

The Print Accounts Receivable Aging Report consists of three blocks and seven subtasks which can be used as follows:

When should I use this screen?

Run this report any time after posting billings or cash receipts, or initializing Accounts Receivable. Additionally, you should always run this report as part of the closing process for each accounting period as support for billed accounts receivable.

You should reconcile the report to the general ledger balances for accounts receivable as part of the month-end closing process.

Note: You can apply org security to this function. This optional feature allows you to grant or remove rights to view and/or update specific organizations to users.

In order to do so, you must first set up the necessary org security screens in Costpoint System Administration. You can then activate org security through the use of the Maintain Users and System Settings screens in that module.

FAQs

Is it possible to print the AR Aging Report in different currencies?

Yes; you can print the AR Aging Report in different currencies based on the currency you selected in the Selection Ranges block of this screen.  

If necessary, you can also revalue your functional currency for this report. To do this, select the Revalue Currency checkbox and enter the exchange rate to be to revalue the functional currency due in this report.

You can also print the AR History Report to display only receivables for a specified billing currency.

The following error: "Error opening report file" displayed while I was attempting to print the A/R Aging Report. How can I fix this?

This occurs when the workstation sends too much data at one time to the printer.  To solve the problem, check the properties of your printer to see if spooling is enabled. If it is, disable it, and make the workstation print directly to the printer.

Field Descriptions

Identification

Use the fields in this block to create a new parameter ID or to retrieve a previously saved parameter ID.  A parameter ID represents a set of screen selection parameters.  Once you have saved a parameter ID and its related parameters, you can retrieve them using Query.  

You can use the retrieved parameters to produce reports and run processes more efficiently and with greater consistency.  Many users save a unique set of parameters for each different way they run a report or process.  If you select a previously saved parameter ID or parameter description, the associated saved screen selection parameters will automatically display as selection defaults.  You can change any of the associated selection defaults as necessary.

Parameter ID *

Enter, or use Query to select, a parameter ID of up to 15 alphanumeric characters.  You should choose characters for your parameter ID that help identify the type of selections you made in the screen, such as “PERIOD” or “QUARTERLY.”  

When you save your record, all the selections made in the screen are stored with the parameter ID. Later, you can retrieve the parameter using Query.

You can use the parameter to produce reports and run processes more efficiently because you can select the parameter ID with its previously defined screen selections.  Once the default selections display in the screen, you can override the defaults as necessary.

Description *

Enter, or use Query to select, a parameter description of up to 30 alphanumeric characters.

Selection Ranges

Use the fields in this block to specify the selection ranges that will appear on your report.

Select By

Use this drop-down box to select the grouping by which you want the report sorted.  Options are "Customer Account," "Project," "Customer Type," "Project Type," "Account," "Organization,"  "Customer Name," "Project Manager," "AR UDF Label 1," and "AR UDF Label 2."

Option

Enter, or use the drop-down box to select, the range of information you want to see on the report.  Options are "All," "One," "Range," "From Beginning," and "To End."  The default for this field is "All."

Start

Enter, or use Lookup to select, the starting value for the range you want to include.  If you select "All" or "From Beginning" in the Option field, this field will be unavailable.

End

Enter, or use Lookup to select, the ending value for the range you want to include.  If you select "All," "One," or "To End" in the Option field, this field will be unavailable.

Non-Contiguous Ranges

Select this checkbox to specify non-contiguous ranges within the range you have selected.

Page Break

Select this checkbox to insert a page break after each group on the report.

Select By

Accounting Period

This non-editable field displays the accounting period.

Fiscal Year *

Enter, or use Lookup to select, the correct fiscal year for this report.

Period *

Enter, or use Lookup to select, the period for which you are running the report.

Subperiod *

Enter, or use Lookup to select, the subperiod for which you are running the report.

Ending Date

This non-editable field displays the subperiod ending date you have selected.

Currency

Range

Enter, or use the drop-down box to select, the range of currencies you want to appear on the report.  Options are "All," "One," "Range," "From Beginning," and "To End."  The default for this field is "All."

Start

Enter, or use Lookup to select, the starting value for the range you want to include.  If you select "All" or "From Beginning" in the Range field, this field will be unavailable.

End

Enter, or use Lookup to select, the ending value for the range you want to include.  If you select "All," "One," or "To End" in the Range field, this field will be unavailable.

Options

Use the fields in this block to tailor the appearance of your report.

Include

Account Level __ and below

This field is available only if you select "Account" in the Select By drop-down box in the Selection Ranges block.

Enter the account level at which you want to print the report; all lower levels will be rolled up for the report. The larger the level number, the more detailed the report; the smaller the number, the less detailed.

Enter zero to include all levels of detail.

To view the number of levels available, see the Account Structure group box in the Corporate G/L Settings subtask of the G/L Settings screen.

Organization Level __ and below

This field is available only if you select "Organization" in the Select By drop-down box. Enter the organization level at which you want the report printed; all lower levels will be rolled up for the report.

The larger the level number, the more detailed the report; the smaller the number, the less detailed. Enter zero to include all levels of detail.

Project Level __ and below

This field is available only if you select "Project" in the Select By drop-down box.  Enter the project level at which you want the report printed; all lower levels will be rolled up for the report.  Enter zero to include all levels of detail.

Select Date

Select Date Drop-down Box  

Use this drop-down box to age the receivables either by invoice date or by due date.

Date to Age by *

Use the Calendar Lookup, or enter the date from which you want to age your receivables.

Select Billing Currency

Revalue Currency

Select this checkbox to revalue your functional currency totals by the rate that you enter in the adjoining Exchange Rate field.

Note: Selecting this checkbox will cause the Currency Range value to default to "One."

Exchange Rate

Enter the rate you wish to use for the revaluation of the functional balance totals.  This field will be available only if you select the Revalue Currency checkbox.

Print Options

Print Report for Multicurrency

Select this radio button to print a detailed report in all currencies, including your company's functional currency.  This radio button is selected by default.

Print report for Functional Currency

Select this radio button to print two reports - one by transaction currency and the other by functional currency.

Currency is Primary Sort

Select this checkbox to specify that currency is the primary sort.

Include

Detail

Select this checkbox to display receivables by invoice or bill number.

If you do not select this checkbox, the report will summarize receivable balances in the appropriate columns by the group selected. For example, if you print this report by "Customer" and have not selected this checkbox, the report summarizes receivable balances by column. Therefore, the report shows a receivable balance in each column for each customer selected.

Progress Payment Bills

Select this checkbox to include all progress payment bills in your aging report.  This checkbox is selected by default.

Unrealized Gain/Loss

Select this checkbox to include unrealized gains/losses on the accounts receivable aging report. You must first select the Detail checkbox in the Include groupbox before you can do this.

Selecting the Include Unrealized Gain/Loss checkbox will allow you to track the open AP totals back to the accounts payable balance sheet account.

The Include Unrealized Gain/Loss checkbox is unselected by default.

Show

Show

The selections in this drop-down box will be unavailable unless you select the Detail checkbox in the Include group box. The choices are:

Invoice Number:  The invoice number is a unique system-generated identification number assigned to each bill. Make this selection to display A/R detail by invoice number.

Bill Number: Make this selection to display A/R detail by bill number.  The bill number is a second invoice identifier, separate from the system invoice number. It is normally used to track project-specific billing numbers required by a particular job.

Invoice Notes

Select this checkbox to print notes on the report.

Show Amts in Thousands

Select this checkbox to show receivable balances in thousands.

If you do not select this checkbox, outstanding receivables will print in actual amounts.

If balances exceed the field size, you will see "####" instead of amounts. If this happens, you must print the report showing receivables in thousands.

Ranges For A/R Aging

These fields display the defaults initialized in the A/R Settings screen. They can be modified at the time the report is run.

Accounts Receivable invoices are aged by due date or invoice date. You should take this into consideration when defining columns for this report.

For example, typically the first column is initialized as the column reflecting current Accounts Receivable. A standard date range for this column is often 0 to 30 days, since Accounts Receivables are aged based on due date. In this instance, the Current column contains all current invoices not yet due, and invoices 30 days past due. Alternatively, this column could be defined as "Current" receivables with a date range of zero to one day. In this instance, the Current column still reflects all Accounts Receivables not yet due and, as those receivables become past due, they shift to Past Due columns.

Headings 1-4

These fields display the defaults initialized in the A/R Settings screen. They can be modified at the time the report is run. To modify the column headings, enter the information and range in days that each column represents. For example, if you want the first column to contain receivables less than five days past due, an appropriate column heading may be "Current." Because this column contains receivables less than five days past due, the days included in this column would be from zero to five. Therefore you would enter the number "05" in the Days To field.

Days From and To

Once you have entered the headings for the ranges of days, use the Days To field to specify the upper limit of the day ranges. For example, if the range of days in the Headings 1-4 field is 31-60, the entry in the Days To field should be 60. The Days From field is calculated as the previous row's Days To entry plus one.

All entries will be labeled as specified on the Accounts Receivable Aging report.

Include Ranges

By default, all four of these checkboxes are selected. Leave these checkboxes selected to include these columns on your report.

If you do not want to include a heading in the Ranges for A/R Aging group box, make sure the appropriate checkbox is not selected. You must select at least one of the checkboxes or you will not be able to print or save the report.

If you do not include a heading in your report, a blank column will print in its space, and any lines containing all zeroes across the remaining columns will be suppressed. Final totals will print only for those columns included in the report.

Even if you choose not to print two columns (leaving only Headings 2 and 4, for example), the system will ensure the Days From and To fields are entered in consecutive order.
