Use this subtask at any time during invoice entry to provide more detailed information for the invoice header, including sales tax information, "on hold" status, and records of who changed the invoice and who approved it. You can also add Notes. The vendor ID, name, extension, and voucher number all display from the invoice.
Use this subtask any time while entering a company-paid invoice.
This field displays the voucher number from the main screen.
These fields display the vendor, vendor name and location from the main screen.
This radio button is the system default for this transaction screen. This initialization behavior overrides any A/P voucher setting for tax defaults.
Select this radio button if the items on the invoice are sales taxable.
Select this radio button if the items on the invoice are taxable, but you were not charged sales tax. If this radio button is selected, the system will accrue use tax for you.
If either the Sales Taxable or Use Taxable radio button is selected, you must enter a tax code. The tax code tells the system what tax rate to use and, if items are use taxable, which account and organization to charge for the liability. After you enter or select a code using Lookup, the tax code description is displayed in the non-editable field below it.
This is a display-only field. The tax code you entered determines this rate for taxable items. If the items on the invoice are non-taxable, this field will be blank.
Use this text box to record any notes concerning the invoice as a whole.
The system will automatically use the pay vendor's default A/P account description that was assigned in the Maintain Vendors screen in Costpoint Accounts Payable. If you override the default value, the application will ask if you would like to continue using the pay vendor's default A/P account description or the A/P account description just entered for the remainder of transactions in this data entry session. An A/P account description is always required.
The system will automatically use the pay vendor's default cash account description that was assigned in the Maintain Vendors screen in Costpoint Accounts Payable. If you override the default value, the application will ask if you would like to continue using the pay vendor's default cash account description or the cash account description just entered for the remainder of transactions in this data entry session. A cash account description is always required.
Select this checkbox if this advance will exceed budget. Selection of this checkbox identifies vouchers that, if posted, will cause you to exceed the line item ceiling. (Remember that advances will eventually become vouchers.) If this advance causes an overrun on a line item ceiling, the entire voucher will be flagged as over budget.
Select this checkbox to indicate that the advance request is "on hold" and not eligible for A/P Voucher creation.
Select this checkbox to have the system print a separate check for each advance entered.
Select this checkbox to have the first 83 characters of text entered in the Check Notes subtask print on the check stub of your blank laser check. The default value is unchecked.
This non-editable field displays the user ID of the person who made the last changes to the invoice.
This non-editable field displays the date the user made the changes.
This non-editable field displays the ID of the person who approved the invoice to become a voucher.
This non-editable field displays the date the invoice was approved.
