Use this screen to view purchase order information. You can also access this screen in Costpoint Purchasing. Depending on your selection criteria, you can view all applicable PO information, including receipt, inspection, and voucher information for each PO and PO line.
Use this screen whenever you need to review information for a given purchase order.
To limit the inquiry to purchase orders for a particular vendor, enter the appropriate vendor ID or use Lookup to select from the list of existing vendors. The vendor must not be flagged as a payroll vendor. If the vendor has an Approval Code of "Not Approved" or "Pending," or if its Vendor Status for PO is "On Hold," you will receive a warning.
To limit the inquiry to purchase orders from a particular buyer, enter the appropriate buyer ID or use Lookup to select from the list of existing buyers.
To limit the inquiry to a particular purchase order/release, enter the appropriate purchase order ID and release number, or use Lookup to select from the list of existing purchase orders.
To limit the inquiry to a particular requisition, enter the appropriate requisition ID, or use Lookup to select from the list of existing requisitions. This is an optional field.
To limit the inquiry to a particular project or range of projects, enter the appropriate project ID (or beginning project ID), or use Lookup to select from the list of existing projects. This is an optional field. After entering a project ID, use the radio buttons in the Project Selection Criteria group box to further define the inquiry criteria.
Use this group box to filter the types of purchase orders that appear in the table window.
Select the PO status type or combination of status types you need to review. The system-defined status types are Pending, Open, Closed, Void, and System Closed.
Select the purchase order type or combination of types you need to review. The system-defined purchase order types are Purchase Order, Blanket Order, Release Order, and Subcontract PO.
Select one of the four radio buttons in this group box to further define the POs that will be returned after executing this inquiry.
Select this radio button to find only those POs that contain an exact match of the entered project/revision.
Select this radio button to find all POs that begin with the project/revision.
Select this radio button to find all POs that end with the project/revision.
Select this radio button to find all POs that contain the project/revision.
This column displays the purchase order ID.
This column displays the purchase order release number.
This column displays the purchase order change order number.
This column displays the status code for the purchase order. The valid codes are as follows: "P" (Pending), "O" (Open), "C" (Closed), "V" (Void), and "S" (System Closed).
This column displays the purchase order type. The valid types are as follows: "P" (Purchase Order), "B" (Blanket Order), "R" (Release Order), and "S" (Subcontract PO).
This column displays the vendor ID on the purchase order.
This column displays the name of the vendor.
This column displays the buyer ID on the purchase order.
This column displays the name of the buyer.
This column displays the order date of the purchase order.
This column displays the transaction currency for the purchase order. The invoice for these materials will be in this transaction currency.
This column displays the amount of the purchase order in the transaction currency. The invoice for these materials will be in this transaction currency.
This column displays the amount of the purchase order in your company's functional currency. Functional currency is the currency used to initialize Costpoint and is the currency in which your financial statements are prepared.
This field displays the total of all lines' PO Total Amt fields in functional currency.
Select this pushbutton to display vendor information such as name, address, contact, phone numbers, classifications, and other information pertaining to the selected PO/Release.
Use this pushbutton to display individual line item information for the selected purchase order.
Use this pushbutton to display expediting notes relating to the selected purchase order.
