Use this screen to fully open purchase orders that have been saved as pending orders. You will be able to query pending purchase orders, review them, and change their status to "Open," making them eligible to have receipts and/or invoices entered against them. You must make all other purchase order status changes in the Enter POs screen.
This screen can be used by organizations that require formal purchase order approval by a quality control person or a purchasing supervisor, before the purchase orders can be received or invoiced against.
Use this screen after pending purchase orders have been entered.
Use Find or Query to select the pending purchase order whose status is to be changed to "Open."
If the purchase order to change is a release order, the release number will be displayed.
Select this checkbox to change the status of this purchase order from "Pending" to "Open." This will change the PO Header Status in the Enter POs screen to "Open" and each Line Status to "Open." If you do not select this checkbox, this purchase order will retain the status of "Pending."
The type of purchase order (purchase order, blanket order, release order, subcontract PO) assigned in the Enter POs screen will be displayed and cannot be changed.
This field displays the PO's procurement type. Procurement type codes are established under the Purchasing Controls menu, and assigned to the PO in the Enter POs screen.
This non-editable field displays the date that the purchase order was entered in the Enter POs screen.
These non-editable fields display the vendor ID and vendor name assigned to this purchase order in the Enter POs screen.
This non-editable field displays the buyer assigned to this purchase order in the Enter POs screen.
This field displays the transaction currency being used for this purchase order. The invoice for these materials will be in this transaction currency.
This non-editable field displays the buyer's purchase order maximum authorization, established in the Buyers screen.
This non-editable field displays the buyer's PO line maximum authorization, established in the Buyers screen.
This non-editable field displays the PO Total from the Enter POs screen.
These fields default from the Enter POs screen and cannot be changed.
The Trans Amount Ordered field displays the ordered amount, in the transaction currency, for this purchase order. The invoice for these materials will be in this transaction currency.
The Func Amount Ordered field displays the ordered amount, in your company's functional currency, for this purchase order. The functional currency is used to initialize Costpoint and is the currency in which your financial statements are prepared. The U/M and Qty Ordered fields will be hidden if the PO Type is "S" (subcontract PO).
This field displays the ID of the requisition from which the PO was created, if applicable. This field will be blank if the PO was not created from a requisition.
This field displays the current order amount of the subcontract PO line after all changes. The value in this field was originally entered as the Ext Cost Amt for the PO line in the Enter POs screen. However, this field displays the most recently updated amount if any additional change orders were entered. If the PO Type is not "S" (subcontract PO), this field will be hidden.
This field displays the proportion of the completed work amount that will be withheld from payment when an accounts payable voucher is created, in order to cover miscellaneous vendor-responsible expenses. This display-only field defaults from the Enter POs screen for subcontract POs only. If the PO Type is not "S" (subcontract PO), this field will be hidden.
This field displays the proportion of the stored materials amount that will be withheld from payment when an accounts payable voucher is created (in order to take care of unforeseen miscellaneous vendor-responsible expenses). This display-only field defaults from the Enter POs screen for subcontract POs only. If the PO Type is not "S" (subcontract PO), this field will be hidden.
Use this pushbutton to display detailed information about the PO line in focus. This pushbutton is enabled for Purchase Order, Blanket Order and Release Order types.
Use this pushbutton to display the subcontractor PO line detail. This pushbutton is enabled only for subcontract PO types.
Use this pushbutton to review POs pending in a non-functional currency.
