Use this screen to display and select eligible ready-for-use/ acceptance sales order invoices. You can individually choose and mark invoices as accepted along with an associated accepted date. Invoices selected in this screen are included in the sales order journal posting for their corresponding fiscal year, period, and subperiod. When you post invoices, the system creates a journal entry to debit unbilled A/R and credit sales. The invoices edited in this screen produce an additional journal entry to debit A/R and credit unbilled A/R.
If you are using Costpoint Multicurrency, the appropriate column headers will contain the prefix "Trans Currency." Each line item amount will be specified in that particular transaction currency. If the transaction and functional currencies are the same, or if you are not using Costpoint Multicurrency, the transaction amounts are hidden and only functional currency amounts are displayed.
The invoices accepted in this screen and assigned an acceptance date and a Ready for Use (RFU) fiscal year, period, and subperiod can be edited until they are posted. Once the RFU related journal entry is created and posted, the invoices marked in this screen will no longer be available for editing. The posting process updates the Invoice Header subtask of the Maintain Invoices screen with the RFU posting sequence and date.
To limit the display of eligible invoices to a particular sales order, enter, or use Lookup to select, the sales order ID and then select the Execute pushbutton. If you leave the Sales Order field blank before selecting Execute, all sales order invoices in the system that match the other selected sort criteria will be included in the display.
To limit the display of eligible invoices to a particular pricing catalog, enter, or use Lookup to select, the catalog and then select the Execute pushbutton. If you leave the Catalog field blank before selecting Execute, all sales order invoices in the system that match the other selected sort criteria will be included in the display.
To limit the display of eligible invoices to a particular invoice number, enter, or use Lookup to select, the invoice number and then select the Execute pushbutton. If you leave the Invoice field blank before selecting Execute, all sales order invoices in the system that match the other selected sort criteria will be included in the display.
To limit the display of eligible invoices to a particular pricing project, enter, or use Lookup to select, the project and then select the Execute pushbutton. If you leave the Project field blank before selecting Execute, all sales order invoices in the system that match the other selected sort criteria will be included in the display.
To limit the display of eligible invoices to a particular customer ID, enter, or use Lookup to select, the customer code and then select the Execute pushbutton. If you leave the Customer field blank before selecting Execute, all sales order invoices in the system that match the other selected sort criteria will be included in the display.
Use the drop-down box to select a primary/secondary sort option; "Sales Order/Invoice," "Customer/Sales Order," or "Catlg or Project/Sales Order."
Select this radio button to display RFU sales order invoices that have not yet been accepted. Do not select this radio button blank to display invoices previously accepted but not yet posted. This radio button is the default.
Select this radio button to display previously accepted RFU sales order invoices. Do not select this radio button to display invoices that have not been assigned accepted dates. You can edit the accepted date, RFU fiscal year, period, and subperiod for RFU invoices until they are posted.
Enter the cutoff invoice date for RFU invoice selection. The system processes all specified selection criteria along with the cutoff invoice date entered to display eligible RFU invoices. Invoices with invoice dates later than the chosen date will not be displayed.
This field displays eligible invoices with a default-accepted value of "N" (No). to mark an invoice with an accepted date, you must change this value to "Y" (Yes), which indicates that the RFU invoice has been accepted and is eligible for journal posting.
This field displays the system date as a default for the accepted date and can be changed.
Enter the ready-for-use fiscal year in which the RFU invoice should be posted.
Enter the ready-for-use period in which the RFU invoice should be posted.
Enter the ready-for-use subperiod in which the RFU invoice should be posted.
