SALES ORDER APPROVAL PROCESSES

Use this screen to define one or many approval processes using approval titles. Set up sales order approval processes when initializing Costpoint Sales Order Entry, and modify them whenever changes to an approval process are required.

Code

Enter an approval process code of up to eight alphanumeric characters in this required field.

Description

Enter the code's description of up to 30 alphanumeric characters in this required field.

Enter the sequence number for this approval title's priority within this approval process. This field is required. Sequence numbers need not be unique for an approval process; if approval titles share the same sequence number, users assigned to each approval process can view and approve the sales order concurrently. If an approval title has a lower sequence number than another approval title in the same approval process, the user with the higher-priority approval access must approve the requisition before others can approve or reject the sales order.

Approval Title Code

Enter, or use Lookup to select, the approval title code for this approval process in this required field.

Minimum Dollar Amount

Enter the minimum dollar amount for sales orders to require this approval title. The value in the Minimum Amount field in the Sales Orders Approval Titles screen for this approval title will be the default here, and can be changed. Any sales orders with an estimated cost less than this amount will not need to go through this approval title step. Zero is the lowest minimum dollar amount allowed.

Maximum Dollar Amount

Enter the maximum dollar amount that sales orders cannot exceed for this approval title; a value of zero indicates that there is no maximum limit for this approval title. The value in the Maximum Amount field in the Sales Orders Approval Titles screen for this approval title will be the default here, and can be changed. Any order with an estimated cost greater than this amount will not need to go through this approval title step.

View Credit Info

The default for this column is established in the Sales Order Approval Titles screen and can be changed as necessary. Enter a "Y" (Yes) in this column if approvers with this approval title will be able to access the Credit Information subtask of the Approve Sales Orders screen in the Sales Orders menu. The Credit Information subtask includes customer-specific finance and credit information, outstanding A/R balance, approved order balance, and credit remaining.

If you enter "N" (No) in this column, approvers cannot view customer credit information during the sales order approval process.
